PURPOSE

Carries out all duties while maintaining compliance and confidentiality and promoting the mission and philosophy of the organization. Supports all functions in the Marketing & Communications department including administrative duties, word processing, rudimentary graphic design and layout, data management using Excel, and some writing. Projects will be assigned based on previous experience and on-the-job mentoring. This is an opportunity to further develop skills in graphic design and production, marketing and public relations.

ESSENTIAL FUNCTIONS
  • Answers telephones and transfer to appropriate staff member
  • Meets and greets clients and visitors
  • Creates and modifies documents using Microsoft Word, Excel and Power Point
  • Maintains hard copy and electronic filing system
  • Signs for, and distributes UPS/Fed Ex/Airborne packages.
  • Setup and coordinates meetings and conferences, including ordering food and materials, registering, and planning travel and accommodations
  • Maintains community and marketing event schedule
  • Orders supplies
  • Prepares and edits contracts and acquire signatures
  • Performs filing, copying, faxing, handling mail, and collecting and sending necessary documentation to payroll, accounting and other administration departments as needed. Provides primary support for everyone in the department in maintaining project spreadsheets.
  • Aids with the production of content including collecting information and photos, writing articles, posting content to intranet, public web sites, e-blast, social media, or laying out in print.
  • Assists in the coordination of all steps in production and mailing of patient letters.
  • Coordinates distribution of marketing collateral and other items to clinics and admin offices.
  • Assists in collecting information, laying out copy, printing/copying/distributing signs.
  • Scans photos and produces art for use in printing and on the internet/intranet.
  • Adheres to all company policies, including but not limited to, OSHA, HIPAA, compliance and Code of Conduct.
  • Regular and dependable attendance.
  • Follows the core competencies set forth by the Company, which are available for review on CMSweb.
OTHER DUTIES AND RESPONSIBILITIES
  • May assist with marketing reports, CRM, and Marketo automated email marketing projects.
  • May assist with representing of Austin Regional Clinic/Covenant Management Systems in various health fairs and events during the year.
  • Assists in keeping collateral materials updated in company displays at clinic and administration locations.
  • Photographs physicians and staff for communication materials.
  • Writes specifications and requests estimates from Austin Regional Clinic/Covenant Management Systems vendors, contacts media outlets.
  • Performs other duties as assigned.
QUALIFICATIONS

Education and Experience

Required: High school diploma or GED. Bachelors Degree in Marketing or Communications or equivalent experience.

Preferred: Experience working in administration.

Knowledge, Skills and Abilities
  • Intermediate knowledge of Microsoft Word, Excel, Powerpoint, and Outlook.
  • Familiar with Adobe Photoshop and Adobe InDesign.
  • Ability to engage others, listen and adapt response to meet others' needs.
  • Ability to align own actions with those of other team members committed to common goals.
  • Excellent computer and keyboarding skills, including familiarity with Windows.
  • Excellent verbal and written communication skills.

Work Schedule: Monday through Friday from 8am to 5pm.
