Job Summary:

The Marina Coordinator is responsible for the daily operations within the Harbourmaster's Office, providing excellent customer service, and ensuring that the shop environment reflects the club's high standards. This role requires strong leadership skills, clear and concise communication abilities, and the capacity to work effectively in a fast-paced, dynamic setting.

The position plays a key role in shaping the overall experience for our members, guests, and staff. As a vital part of our team, this role requires someone who is highly organized, customer-focused, and passionate about delivering exceptional service. Additionally, this role is responsible for the office administration component including; reconciling marina member billing of dues, partnering with the clubs Retail Merchandise Manager of the marina's retail store, working with our Lead Captain on scheduling annual marina social and boating events, scheduling boat club reservations and dry storage boat launches, scheduling boat cleaning services, curating the department's monthly newsletter, and the overall marina member experience. Will always ensure a consistently high level of member satisfaction and pride in Wilson Landing.

Essential Job Functions:
  • Answer phones, greet, acknowledge, and interact with members and guests in a friendly and professional manner.
  • Train Marina Reservationists
  • Proficient in learning and use of computer software systems
  • Articulate extensive knowledge of programs at Wilson Marina and Palmetto Bluff.
  • Respond to member inquiries regarding programs, services, policies and procedures in a professional and timely manner.
  • Administer scheduling of events and monthly marina newsletter
  • Educate members on various member services and Wilson Landing offerings
  • Schedule chartered cruise reservations
  • Schedule boat launches and new boat club member training certification sessions.
  • Schedules marina boat rentals, transient boaters, chartered captain leisure and fishing cruises, boat cleaning services in Northstar
  • Communicates social and chartered cruise counts to Events team as needed.
  • Input all transactions into the Point Of Sale system in a timely and accurate manner, including Charter, Event, Boat Services, and Fuel and Retail sales
  • Ensure rental boat and transient dockage waivers are completed as required
  • Partners with club's Retail Merchandising Manager to curate retail inventory, performs periodic inventory counts, re ordering and re stocking
  • Partners with Club's Membership Manager to maintain Dry Storage member and Boat Club member records, boat club agreement and annual insurance record keeping
  • Works with Accounting Partner to maintain Dry Storage, Boat Club and Kayak billing
  • Maintain and manage dry-stack storage schedule by keeping accurate records on current and future boat storage members and the location of their vessels.
  • Track and electronically archive boat club use, charter reservations, launch data, and other related statistical data for budgeting and forecasting purposes.
  • Orders office, and marina restroom facility products from select vendors
  • Responsible for front office, retail shop and two marina restroom facility product restock and cleanliness
  • This position is eligible to receive commissions from all retail sales
  • Assist in operations as requested by management
Qualifications:
  • Five years of Administrative experience
  • Excel, Word and Powerpoint literate
  • Ability to handle multiple tasks efficiently and accurately
  • Ability to work collaboratively with others
  • Strong organization skills and attention to details
  • Ability to communicate clearly, maturely and compassionately with members in writing and in person
  • Excellent customer service guest relations
Physical Requirements:
  • Work tasks may be performed both indoors and outdoors. Will encounter variable outdoor weather conditions, including hot, cold, windy and wet weather.
  • Requires grasping, writing, standing, sitting, walking, repetitive motions, bending, climbing, listening and hearing ability and visual acuity.
  • Talking and listening occur continuously in the process of communicating with guests, supervisors and subordinates.
  • Vision occurs continuously with the most common visual functions being those of near vision and depth perception.
  • Requires manual dexterity to use and operate all necessary equipment.
  • Must have finger dexterity to be able to operate office equipment such as computers, printers, multi-line touch tone phone, filing cabinets, photocopiers, dolly and other office equipment as needed.
