Job Summary:

The Parts Manager is responsible for running a profitable and efficient Parts Department. They will accomplish objectives using proper purchasing procedures, inventory control, staff utilization, security, pricing, merchandising, displaying, and advertising.

Essential Job Duties and Responsibilities: (Additional duties as assigned)

Management Related:
  • Forecast goals and objectives for the department and strive to meet them.
  • Strive for harmony and teamwork with all other departments.
  • Work with the Service Manager and Body Shop Manager to ensure a timely turnaround of parts.
  • Prepare and administer an annual operating budget for the Parts Department.
  • Understand, keep abreast of, and comply with federal, state, and local regulations that may affect parts sales.
Personnel Related:
  • Hire, train, motivate, counsel, and monitor the performance of all parts personnel.
  • Direct and schedule the activities of all parts personnel
  • Provide technical assistance to parts department personnel
  • Conduct meetings with parts department personnel to discuss activities and problems of mutual interest and to develop strategies for a more effective operation.
  • Monitor parts personnel employee records including payroll submission.
Customer and Department Related and Other:
  • Develop, enforce, and monitor guidelines for working with customers to ensure maximum customer satisfaction.
  • Handle customer complaints immediately and according to dealership guidelines.
  • Establish and enforce pricing policy that balances volume, customer loyalty and the cost of doing business.
  • Monitor and adjust inventory to minimize obsolescence.
  • Establish individual parts inventory levels and balance them for maximum turnover.
  • Ensure special order parts adhere to policy of prepay.
  • Direct outside parts and counter sales efforts, including a telemarketing program to keep in contact with customers.
  • Supervise stock order process.
  • Develop and administer an aggressive wholesale parts program to produce profit.
  • Analyze departmental operations and storage layout and revise as needed.
  • Coordinate a prompt, efficient and timely flow of paperwork.
  • Direct shipping and receiving efforts to endure timely processing.
  • Monitor daily reports such as DOE, DOC, and sales productivity.
  • Develop and produce Lost Sales Tracking Report.
  • Enforce safety requirements, including but not limited to, processing of MSDS sheets on all products carried and OSHA right to know.
  • Develop sales promotions.
  • Take advantage of all manufacturers' inventory co-op advertising.
  • Analyze sales, gross expense, and inventory monthly to maintain profit goals.
  • Ensure that all purchases are properly accounted for before payment is made and use the purchase order system.
  • Ensure that the work area is kept clean.
  • Ensure that service personnel are immediately served.
  • Maintain CSI in top 10% of group.
  • It is your responsibility to support and endorse dealership policies and procedures as set forth by dealership management and manufacturers standards.
Required Experience and Education:
  • High School Diploma or General Educational Diploma (GED)
  • One year of experience in the automotive parts department.
  • One year of supervisory experience.
Additional Requirements:
  • Valid New York State Driver License.

Equipment, Machines and Software Used:
  • Computer software: Microsoft Office to include Word, Outlook, Excel, and CDK.
Physical and Mental Requirements:
  • Ability to sit, stand, walk, talk, hear, use hands to finger, grasp, handle or feel, push, pull, reach, crouch, bend, kneel, climb, and perform repetitive motions of the hands and/or wrists.
Physical Exertion:
  • Exerts up to 50 pounds of force occasionally, and/or up to 70 pounds of force frequently to lift, carry, push, pull, or otherwise move objects.
Environmental Conditions:
  • Work is performed in company vehicles and other locations in dealership.
  • Will be exposed to noise, dust, exhaust fumes and other hazardous and non-hazardous materials.
  • Occasional weekend and evening hours are required.
Hazards and Safety Precautions:
  • Hazards: Slips, trips and falls, ergonomic injuries, and occasional lifting.
  • Safety Precautions:Breaks are encouraged to allow for stretching and training is provided covering slips, trips, and falls, safe lifting and stretching techniques.
