Position Summary

Reporting to the Senior Director, Controller, the Manager, Accounts Payable (AP) and Payroll will be responsible for timely and accurate payments and reimbursements to outside vendors and employees. This role is integral to the organization, ensuring accuracy and compliance. This individual will play a vital role as a single point of contact for AP and payroll functions and support the accounting department with close activities, including preparing journal entries and reconciliations for various transactions and accounts.

Essential Job Functions and Responsibilities

  • Manage and maintain all payroll-related tax accounts (ie withholding, UI, local, and any other payroll accounts as needed) as well as set up all payroll-related tax accounts in any new states
  • Responsible for full payroll cycle including processing, reconciliation and validation prior to transmission
  • Manage accurate and timely quarterly and annual tax reconciliations and reporting, including W-2's
  • Responsible for the full accounts payable cycle, including invoice processing, payment approvals, 3-way match, and employee expense reimbursement
  • Ensure accurate and complete vendor setup and records
  • Maintain PO cost tracking workbooks
  • Lead annual 1099 filings
  • Monitor tax withholding submission requirements to taxing authorities
  • Serve as the contact for employee payroll inquiries
  • Maintain compliance with all company policies and procedures, including SOX controls related to accounts payable and payroll functions
  • Participate in the month-end close process, journal entries, reconciliation preparations, and completions as needed
  • Key team member in the implementation of new ERP, Source to Pay, and T&E Platforms
  • Assist with special projects as needed

Qualifications

  • Bachelor's degree required in accounting, or a related area degree preferred with 6+ years of experience in the pharmaceutical or biotechnology industry or an equivalent combination of academic and industry experience.
  • Experience with full cycle AP processing
  • Strong knowledge of payroll rules and regulations, including taxes
  • Experience with ADP Workforce Now
  • Good understanding of Generally Accepted Accounting Principles (GAAP)
  • Strong knowledge of internal controls in both accounts payable and payroll functions
  • Experience with financial accounting systems; Quickbooks, Netsuite, AP workflow systems (ex. Coupa etc.), Concur etc.
  • Ability to work independently in a time-sensitive environment, self-motivated and self-directed, and ask for support and guidance as needed
  • Excellent communication and interpersonal skills, with the ability to collaborate effectively with internal and external stakeholders
  • Strong analytical and problem-solving abilities, with a strategic mindset
  • Ability to travel as needed

  • Constant or continuous use of a computer keyboard, monitor and mouse to perform a variety of tasks

Work Environment:

  • Hybrid; on-site requirement Monday through Wednesday each week
  • Noise level in the work environment is usually moderate

A reasonable estimate of the base salary range for this role is $110,000 - $121,000. The final salary offered to a successful candidate will be dependent on several factors such as experience, education, skills and competencies.
