Refined Gardens is growing again Our maintenance division needs a detailed oriented person to help right away.

Position description: The Maintenance Account Manager is the primary contact for clients, and coordinators between client and field supervisors to provide answers, schedule work, and manage work orders. The individual must be detail-oriented and able to communicate effectively and professionally with clients and field personnel via telephone and in writing. Our focus on white glove service means that the coordinator must develop a rapport quickly with clients and strive for a stunning customer experience.

Reports to: The Maintenance Account Manager directly reports to the Maintenance Manager and Director of Operations.

Skill set and educational requirements: The Maintenance Account Manager must possess the following skill set and educational background:

  1. Has at least 2-3 years of scheduling and/or client relations experience.
  2. Has a minimum of a high school education.
  3. Bilingual in Spanish and English can be helpful but not required.
  4. Attention to detail, with ability to multitask and meet deadlines regularly.
  5. Able to communicate effectively in a professional and courteous manner with customers and service personnel.
  6. Able to comprehend and implement scheduling software. Training provided.
  7. Be positive, cheerful, friendly, and helpful. Able and willing to create an atmosphere of cooperation and professionalism.
  8. Is eager to learn company systems, support and help other team members. We are always open to new ideas that help the whole team.
  9. Eager to grow and improve themselves, and bring value to the company.
Responsibilities:
  1. Maintains Maintenance department schedule daily. Works directly with the Maintenance Manager assisting with their schedule as well. Duties include calling in orders for upcoming projects and calling customers to notify them of the schedule or and changes to the schedule.
  2. Create and send proposals to clients with a sense of urgency.
  3. Tracks and compiles maintenance end of month billing, and track and review receipts, invoices to verify accuracy.
  4. Writes, maintains, and updates SOPs (standard operating procedures) for his/her job.
  5. Accurately files all paperwork and maintains proper security for same.
  6. Communicates both in writing and verbally with customers regarding schedule, problems, or requests.
  7. Dispatches service personnel for emergency calls.
  8. Job walk with the maintenance manager to observe project quality standards are met


Salary, bonus, and/or commissions: Get paid. We offer a base salary plus mid year and end of year bonuses. Company paid health insurance and 2 weeks PTO per year to start.
