Job Summary

Minnesota Management and Budget (MMB) is seeking an Administrative Assistant to support the clerical and administrative functions of the Management Analysis and Development (MAD) Section. MAD is a unique business housed in state government. For more information about us, visit our website .

You'll provide essential administrative support to our consultants and management team, helping us provide excellent services to our clients across the public sector.

Job duties for this position include:
  • Providing administrative assistance to the consultants and executive staff, such as scheduling meetings, drafting documents and correspondence, preparing supplies and documents for meetings, fielding phone calls and emails, and completing forms.
  • Maintaining current information on MAD website, SharePoint, and internal documents.
  • Supporting financial processes to ensure internal controls are established and followed; processing accounts receivable and accounts payable functions.
  • Monitoring financial activity to comply with agency regulations and ensure timeliness of transactions.
This position will be required to work onsite two (2) to three (3) days per week, depending on business needs and telework schedule. The incumbent may be required to travel to other parts of the Twin Cities or Minnesota with notice.

Qualifications

Minimum Qualifications
  • Customer service skills sufficient to provide prompt and accurate information to customers in person, on the phone, and through email in a courteous and respectful manner
  • Word processing skills sufficient to prepare, edit, and finalize emails, memos, reports, and/or other documents and types of written communication that are grammatically correct, in proper format, and free of spelling errors
  • Data entry skills sufficient to maintain accurate records, receive and review source documents, compare documents to database information, and edit documents
  • Knowledge of data entry procedures and systems, such as Microsoft Office or similar data entry systems
  • Communication skills sufficient to present clear and concise explanations of governing rules and regulations in a manner that is understandable.

  • Three (3) years of experience in an administrative support role providing administrative and clerical functions for a department
  • Ability to work under pressure to meet timelines by managing multiple tasks and setting priorities
  • Knowledge of and proficiency in Microsoft Office products (Outlook, Word, PowerPoint, Excel, etc.)
  • Experience with online meeting platforms and tools, such as Microsoft Teams, Mural, Padlet.
  • Experience updating websites or using electronic mail distribution systems (such as GovDelivery)
  • Ability to appreciate diversity and a strong commitment to a respectful and inclusive work environment
  • Experience with survey tools such as Qualtrics.
  • Spreadsheet skills sufficient to use advanced features such as formula creation to manipulate and sort data and create statistical reports
Physical Requirements
  • The incumbent may be required to travel to various Twin Cities/Metro locations on occasion.
