The Loan Operations Legal File Specialist is responsible for the creation and maintenance of all legal loan files (electronic and physical format). Ensuring that they are maintained in an accurate and complete manner.
Duties and responsibilities include:
- Responsible for the initial creation, indexing and publication of loan legal files maintained in electronic format (multiple systems).
- Responsible for the initial creation and maintenance of the physical loan legal files (paper format.)
- Maintain all legal loan files in a complete, secured, organized and controlled manner (electronic and physical files).
- Responsible for the maintenance and safekeeping of all original loan document files (new and renewed loans)
- Maintain all supplies for the department.
- Mail loan notices, advises of credit and debits and distribute mail within the department.
- Responsible for the process related to storage of closed loan files (Document Bank).
- Assist Department staff in clerical and administrative tasks at peak time cycles.
- Fill in for other functions within the department during absences.
- Perform other related duties and assignments as required
- Work in special projects
- Recommend to immediate supervisor, policy and procedure changes needed to ensure quality of the work processed by the area at all times as well as continuous improvement of the imaging loan operation process.
Minimum Education and/or Certifications Requirements:
High school or GED required.
Minimum Work Experience Requirements:
1 to 2 years of experience in loan clerical work.
Knowledge of legal loan documentation required (ability to identify different types of loan documentation).
Experience in Document Management Systems preferred.
Technical and/or Other Essential Knowledge:
Proficiency using Microsoft Office 365 products including MS Word, MS Visio, MS Excel, MS Teams, and MS PowerPoint
