Essential Functions

Description % of Time Spent

Loan Documentation

• Facilitate proper preparation/documentation of all consumer, commercial, residential real estate, commercial real estate, construction and SBA loan documents within required time frames and agreed upon service level agreements

• Ensure all due diligence and supporting documents required for proper documentation are received and reviewed

• Ensure all documents adhere to necessary Bank policies, regulatory and legal compliance codes and statutes

• Ensure that all loan documents are appropriately reviewed for accuracy and consistency

• Interface and act as a liaison with Loan Service Center personnel, title and escrow officers, loan officers, Bank and client attorneys Bank team members and others as needed

• Answer questions for staff regarding preparation of complex entity structures, loan document requests, and construction budgets

• Prepare more complex or special loan document requests such as forbearance, participation agreements, control accounts, legally requested loan documents outside of loan software, and modification agreements, as needed

• Maintain current knowledge of SBA documentation and ensure the bank is in compliance with all updates

• Address any loan documentation inconsistencies with department personnel for department cohesion

• Identify need for assistance from legal counsel, Credit Administration and/or compliance counsel and work together in developing and preparing loan documentation, as necessary

• Work with Application Support and Information Technology to keep loan documentation subsystems and loan software systems utilized updated and tested for any changes

• Work with Loan Operations Manager to follow up on internal audit and outside examination exceptions related to loan documentation

• Work with Compliance and Risk department to assess how regulatory changes will impact loan documentation processes and procedures. Instruct and lead staff to comply with regulatory updates.

Management:

• Schedule staff and assign work to ensure superior customer service and all service level agreements are met

• Recruit, select, train and provide leadership and performance feedback for direct reports.

• Conduct regular staff and coaching meetings with direct reports

• Participate in department meetings

• Manage all aspects of employee performance and provide necessary coaching

• Establish goals and work plans consistent with Bank needs and monitor/measure progress

• Monitor workloads, assign, and distribute workload levels according to product type and availability to meet service level agreements

• Ensure consistency and standardization of document preparation

• Review, recommend and implement process improvements, procedures and technology to make daily documentation operations more efficient

• Monitor, measure and maintain quality control statistics and performance records for documentation personnel

• Attend internal and external management meetings and represent the Bank at external functions and activities

• Continually monitor process flow for efficiency and expediency: Recommend process improvement strategies as needed

Non-Essential Functions:

• Perform special projects, research and analysis as requested

• Perform other duties as assigned

Supervisor Responsibility

Supervisor: Responsible for monitoring and regulating staff performance and delegating duties to direct reports. Typically oversees the work of one business function. Typically oversees work of non-exempt employees.

Minimum Qualifications

Education Level Description

2 Year / Associate Associate's degree or a combination of equivalent education and experience

Years of Experience Comments

5 - 7 Progressively responsible experience in loan documentation, including three years direct supervisory experience.

Knowledge, Skills and Abilities

• Thorough knowledge of commercial transactions, commercial real estate, mortgage lending, construction, SBA, lease financing and consumer loan documentation methodology and procedures

• Complete understanding of regulatory compliance and bank lending policies and procedures

• Ability to communicate effectively with direct reports, department leaders, and cross-functional teams

• Thorough knowledge of LaserPro software or similar loan documentation software and other software and core systems used by the bank

• Working knowledge of title policies and endorsements, business formation and trust documentation

• Ability to work collaboratively with business partners throughout the organization

• Ability to supervise, coach and lead a team

Physical Requirements

Office Worker: Ability to stand, bend, stoop, sit, walk, twist and turn. Ability to lift up to 15 pounds occasionally. Indoor office work environment with a majority of time sitting at a desk.

Compensation

The hiring range for this position is $75,000 to $107,750 per year. The compensation offered will fall within this range commensurate with the candidate's applicable experience, education and skills.
