As a Loan Documentation Specialist, you will be essential in ensuring the accuracy and completeness of loan documentation throughout the loan processing cycle. Your role will involve collaborating with internal documentation staff, brokers, and end customers to prepare and create loan documents for equipment finance agreements. In this position, extreme accuracy, attention to detail, and the ability to multi-task is required. Strong interpersonal skills, both written and verbally, for internal and external communication is required to effectively perform this role.


General Responsibilities:

  • Provide excellent customer service and communication to business partners and borrowers.
  • Compose loan documents, review funding packages, file UCC's and work with internal departments to ensure a smooth process throughout the life cycle of the agreement.
  • Utilize judgment to escalate any potential risk discovered during funding process.
  • Ability to effectively prioritize a fluctuating workload to meet deadlines.
  • Resolve complex issues, identify process improvement opportunities and work with management to implement.
  • Work with our technology groups to correct issues or improve functionality including testing of system changes.
  • Review imperative customer information for accuracy across multiple inputs, flag for fraud, and problem solve to fund secured loans.
  • Organize and create documentation using Microsoft Office, File Explorer, Adobe, and our internal databases.
  • Manage and organize both physical and electronic notes and records for your own usage.
  • Understanding of state compliance requirements related to automobiles, vehicular equipment, financial disclosures, and rate regulations.
  • Organization of multiple loan cases and ability to speak details on open cases at any moment.

  • Multi-task/organize work and work independently with little supervision.
  • Use analytical thinking about data received to make decisions as well as a strong attention to detail.
  • Handle escalated issues and come up with solutions for resolution, utilizing third party vendors, customers, team members, brokers, while maintaining relationships with said brokers and customers.
  • Clearly communicate with other associates in a positive manner about errors and how to avoid them in the future.
  • Learn quickly and work in a fast-paced environment as well as function as a part of a group sometimes passing work back and forth to complete common goal.
  • Show flexibility in prioritizing workload, being able to change to a completely different task suddenly.
  • Communicate to all levels including credit associates, titling associates, finance associates, brokers, upper management and customers effectively.
  • Show a strong drive to achieve goals and promote more work and the companies' values.
  • Act proactively, take ownership and follow up on issues.
  • Work with a team spread across the country, via Teams, Email, Zoom, and more.
  • Work with time constraints to reach a common deadline of funding cut off time.

Knowledge/Skills/Abilities/Education:

  • Bachelor's Degree from accredited college, university, or experience equivalent
  • Titling, Lien Perfection, Equipment Finance or Loan Origination knowledge is a plus
