Summary: The Loan Documentation Specialist II supports Loan Officers as well as the entire Royal Banks of Missouri Lending Team. The documenter is responsible for reviewing loan files, making requests, and collecting key documents, preparing the loan file and loan closing package, and meeting closing deadlines. Accurately perform loan processing duties, loan documentation, file setup, loan booking, and any necessary follow-up in association with commercial and consumer loan files for new, renewed, denied or withdrawn loans for loan officers and clients by performing the following duties.
Duties and Responsibilities include the following. Other duties may be assigned.
- Advanced knowledge and experience in commercial, consumer, and SBA loan documentation.
- Prepares all necessary documentation and correspondence in conjunction with new, renewed, withdrawn, and denied loans.
- Advanced organizational skills for loan files assigned for documentation and/or booking.
- Ability to multi-task and meet all closing, funding, and booking deadlines.
- Ensure all loan documents are accurately prepared, adheres to compliance rules and regulations and are properly executed.
- Responsible for preparing loan closing documentation packages for loan officers.
- Responsible for ensuring that the bank's collateral position is secure regarding e-recording, UCC filing, and lien filing for motor vehicles.
- Request and review UCC search pre- and post-closing to ensure proper lien position.
- Review files after loan closing to ensure that documents are fully executed and returned, process loan funding and book loan to core system, secure collateral, tracking of post-closing documentation.
- Process and send e-recorded and post-closing documentation to title companies.
- Performs a full range of duties pertaining to loan processing, closing, and servicing functions including pull system inquiries and reports to obtain credit/ loan history information for borrowers, loan officer inquiries, and obtaining loan payoff information.
- Prepare all loan documents and correspondence as requested by the Loan Officer.
- Responsible for scanning/ indexing the loan file to Centerdoc for monthly audit reviews.
- Booking loans to the system, process payments/ payoffs and determines the appropriate applications of those payments/ payoffs.
- Processes file maintenance transactions and booking corrections accurately and timely.
- Responsible for paying invoices related to loan origination and servicing functions according to the appropriate procedures.
- Responsible for obtaining releases and satisfactions for loans that Royal Banks pays off.
- Prepares hold request forms and collateral input sheets for negotiable collateral.
- Obtains initial coverage binders or copies of insurance policies and reviews policies for adequate coverage and ensures that the bank is listed as the lien holder or mortgagee.
- Maintains accurate and current data in the exception tracking report, credit bureau log, HMDA LAR, collateral list, and any other data tracking reports as assigned.
- Assists as needed with follow up of all final or outstanding documentation related to all loans.
- Maintains and reconciles loan expense payable accounts and updates costs in the process spreadsheet.
- Responsible for accurately preparing general ledger transaction entries and disbursement checks for all new or renewed loans including any subsequent construction draw requests.
- Scan and Index incoming documentation and supporting information in the appropriate files.
- Acts as a backup person for the payment processor or other Documentation Specialists as requested.
- Maintains and updates procedure manuals based on information received from management and supervisors.
- Manages, performs, and completes identified special projects within the department at the request of management and supervisor.
- Responsible for cross training in all other functions of the Loan Department to assist in any areas as needed or as requested by management or supervisors.
- Maintains educational and professional expertise through attendance at job related seminars, conferences, and workshops.
- Assists in the development of manuals and supporting documentation in relation to the Documentation Processor position.
- Completes online compliance courses on time as assigned by management.
- Performs all other duties as needed by management or supervisors.

Computer Skills: To perform this job successfully, an individual should have knowledge of Microsoft Word; Microsoft Excel; Microsoft Outlook and Microsoft Windows. Knowledge of CSI Nupoint, Hawthorn River, and Encompass is a plus.
Education/Experience: High school diploma or general education degree (GED); or two to four years related experience and/or training; or equivalent combination of education and experience.
