Key Responsibilities:
- Provide administrative support to attorneys, including document preparation, calendar management, and correspondence drafting.
- Prepare and format legal documents, pleadings, motions, and discovery materials for state and federal court filings.
- File legal documents electronically using e-filing systems such as PACER and state court portals.
- Maintain and organize case files, trial exhibits, and client records in both physical and digital formats.
- Coordinate court deadlines, depositions, hearings, and trial schedules, ensuring compliance with court rules and procedures.
- Communicate with clients, opposing counsel, court personnel, and expert witnesses in a professional manner.
- Assist in trial preparation, including assembling binders, preparing witness lists, and organizing exhibits.
- Manage attorney timekeeping and billing using legal billing software.
- Handle travel arrangements, expense reports, and meeting coordination for attorneys.
- Support the litigation team with other administrative and operational tasks as needed.
Qualifications:
- Experience: Minimum 3+ years of litigation legal secretary experience in a law firm setting.
- Education: High school diploma required; associate's degree or paralegal certification is a plus.
- Skills: Strong understanding of litigation processes, court rules, and e-filing procedures.
- Proficiency in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint), Adobe Acrobat, and legal document management systems.
- Excellent organizational, communication, and multitasking abilities.
- High attention to detail and ability to manage multiple deadlines in a fast-paced environment.
- Experience with legal billing software and document review platforms is a plus.
