We are seeking a seasoned and dynamic Litigation Legal Administrative Assistant to join our high-performance team. This permanent position is a fantastic opportunity for an experienced professional who is well-versed in the legal industry and is eager to apply their skills in a challenging and rewarding environment. The successful candidate will have a pivotal role in our litigation team, providing comprehensive administrative and legal support to our attorneys. This position is ideal for a proactive, detail-oriented individual who thrives in a fast-paced setting.
Responsibilities:
As a Litigation Legal Administrative Assistant, you will:
1. Manage complex litigation calendars, ensuring all deadlines are accurately recorded, tracked and met.
2. Assist with attorney time entry, ensuring all billable hours are accurately recorded and processed.
3. Review and proofread legal documents, correspondence, and reports to ensure accuracy and compliance with legal procedures.
4. Coordinate and manage case files, including organizing and indexing exhibits.
5. Prepare and process legal documents and papers, such as summonses, subpoenas, complaints, appeals, motions, and pretrial agreements.
6. Provide high-level administrative support to attorneys, including managing correspondence, scheduling meetings, and coordinating travel arrangements.
7. Maintain and update databases and tracking systems, ensuring all case information is current and accessible.
8. Liaise with clients, court officials, and other legal professionals in a professional and courteous manner.
Qualifications:
The ideal candidate for the Litigation Legal Administrative Assistant position will possess:
1. A minimum of 5 years of experience as a Legal Administrative Assistant, preferably supporting commercia or business litigation attorneys.
2. Proficient knowledge of legal terminology, court procedures, and legal document formats.
3. Strong experience with calendaring deadlines, attorney time entry, and proofreading.
4. Exceptional attention to detail and a high level of accuracy in all work.
5. Excellent organizational and time management skills, with the ability to prioritize tasks effectively and meet deadlines.
6. Strong written and verbal communication skills, with the ability to interact professionally with all levels of staff, clients, and court officials.
7. Proficiency in Microsoft Office Suite and legal research software.
8. A proactive approach to problem-solving and the ability to work independently and as part of a team.
9. Experience E-filing in state and federal court.
