Job Summary
This position is responsible for providing exemplary customer service, assisting patrons at the circulation desk as needed, acting as a Business Office liaison to manage patron accounts and recover materials. This position manages the library's textbook reserves collection and provides statistical reporting and analysis. It manages the library reserves collection, maintains the current and past serials collection and recommends new subscriptions. This position may initiate and influence changes to library policy and procedures and improvements to physical space. It reports to the Assistant Director of Library and Head of Public Services (ADLHPS).
Essential Job Functions - Staffs circulation desk 15-20 hours per week. Circulates, renews and reserves materials for patrons. Communicates with students, staff and community patrons about college and library services and materials. Troubleshoots printers, personal computers, and general office equipment. Administers borrowing, interlibrary loan and financial policies from consortium libraries. Under multi-library agreement, serves public and McDaniel College patrons. Assist students with new student email, Canvas, Lynx Portal, and Microsoft Office issues. Employ 25 Live to answer schedule/location questions.
- Refers patrons as needed to services or offices on campus.
- Uses Polaris integrated library system (ILS) to perform duties beyond daily circulation such as resolving patron accounts, creating patron/item records, tracking and processing lost/damaged materials.
- Shelves materials and maintain physical collection through shelf reading. Employs Library of Congress classification standards.
- Trains library staff and student workers on Polaris, LEAP, Premisys photo ID technology, and library practices.
- Processes incoming periodicals, donations and reserve requests. Opens and closes the library.
- Initiates and develops library policies and procedures in collaboration with supervisor and Director of Library.
- Runs and distributes daily billing and overdue notices.
- Performs hourly library usage count using Desk Tracker system.
- Adapts to library, IT and college-wide changes, in collaboration with supervisor. Troubleshoot ILS circulation problems with Director of Library and advise on potential solutions.
- May supervise part-time student aides.
- Creates and utilizes training tools and modules for part-time circulation staff and student employees. Updates and refines training materials on an ongoing basis to maximize cross-training and reflect the evolution of the position. Primary trainers for part-time circulation staff and student aides.
- Initiates, plans, recommends purchases, and implements both active and passive library programs and events according to library mission.
- Serves on Programming Committee under the supervision of the ADLHPS. Collaborates with student clubs, faculty, and external partners, to expand the library's reach and influence.
- Promotes the Library through the creation of banners, signage, social media posts, and college-based outlets. Serves on Marketing Committee under the supervision of the Director of Library. Uses Canva and Publisher software to create signage, infographics, and other marketing materials for both in-house and external use in promoting library services.
- Staffs the photo ID office as needed during peak orientation periods, and on an as-needed basis throughout the year. Employ Premisys to take photos and process IDs for credit, CET and field placement students. Confirm program eligibility for continuing education students, confirm rosters for scheduled groups. Monitor and troubleshoot ID hardware and software. Create and update policy and procedures documentation for use by all ID office users.
- Ensures that back issues of print periodicals are in alignment with retention policies, including collection-wide weeding as necessary. Maintain publisher-library relationships including a database of publisher information and publication schedules, identify savings to the college within the Serials budget, and coordinate with the Electronic Resources Librarian to transition subscriptions from print to online.
- May participate in long-term project management as it relates to the integrity and access to the circulating collection, including managing the inventory process and other enhancements to library's physical space.
- Compiles statistical data for reporting and analysis. Back up scheduler for all library locations in 25 Live.
- Performs all duties of other full-time Library Services Specialist in their absence. Maintain integrity of collection through shelf-reading and shifting.
- Participates in college committees, consortium committees and attend annual professional conferences and local trainings.
- Makes retention decisions on damaged materials. Produce monthly spreadsheet of new titles for distribution to subject liaison librarians.
- Manually updates confidential patron information from Datatel into Polaris systems monthly.
- Assumes full responsibility for scheduling and completing annual inventory projects.
- Report/resolve library financial obligations with Business Office. Creates and clears registration blocks on student accounts, monitor accounts sent to collections, and apply college financial policies to library accounts. Contacts patrons to resolve delinquent accounts. Communicates with patrons and consortium libraries on CCC, Carroll County Public Library and McDaniel's Hoover Library patron accounts. Makes deposits into multiple accounts. Deposits checks from book resale brokers. Researches and completes petty cash purchases for the Library.
- Monitors content of College website Library policy page and submits changes as needed.
- Updates Library hours signage each semester.
- Creates and updates written policy and procedure manual for all departments creating staff and student IDs, including Human Resources staff. Creates and updates written policy and procedure circulation manual.
- Performs other duties as assigned.
Minimum Requirements to Perform Work - Associate Degree and three years of related experience (i.e. circulation experience using Polaris ILS.)
- Knowledge of Microsoft Office Suite, including Word and Excel.
- Strong organizational skills and attention to detail.
- Excellent customer service skills.
- Available for regular evening and rotating Saturday shifts.
- Must be positive, cooperative, and supportive.
Preferred: - Academic library experience
Supplemental Information SALARY INFORMATION:
This position will be placed on the College, 12-month non-exempt staff salary scale at grade 8. Actual salary placement based on qualifications and experience. Position includes an excellent fringe benefits package.
PHYSICAL DEMANDS:
The work may require periods of standing, as well as the physical activity required to lift books, move book carts, and shelve books using safe practices. Additionally, the following physical abilities are required:

WORK ENVIRONMENT:
College library on-site. College campus, direct contact with diverse students, staff, faculty and the general public in classrooms, common and shared areas, offices, and campus environments. Work environment involves everyday risks or discomforts which require normal safety precautions typical of such places as library, office, meeting, and training rooms. Use of safe workplace practices with office equipment; computers for data entry and word processing with some highly technical applications and new technology systems; avoidance of trips and falls; observance of fire and building safety regulations and all College policies.
