YOUR MISSION (The Job Description)

The Leisure Sales Coordinator will be responsible for
  • Regularly monitoring third party booking sites to check and/or update content
  • Effectively and professionally communicating with third-party account managers, travel agents/agencies, business travel accounts, VHLV teammates, and guests
  • Auditing reservations, including new bookings, modification, and/or cancellations to ensure system integrations are working properly
  • Contributing to the efforts of collecting payments in a timely manner
THE NITTY-GRITTY (The Essential Job Duties)

This role will work closely with Director of Leisure Sales to:
  • Verify and collect funds for guest pay only reservations (i.e., Expedia and ) in a timely manner
  • Verify and collect funds for non-refundable reservations in a timely manner
  • Review rate parity discrepancies with Revenue Management, Distribution, Hilton, and 3rd Parties
  • Assist with auditing and inputting any reservations that fail to integrate with the hotel's PMS
  • Log in and monitor various extranets and any other required systems
  • Respond to guest communications in a timely manner via phone, email, extranet messages, etc.
  • Assist with communicating and auditing property updates and promotional opportunities to third-party partners
  • Review upcoming arrivals and special requests, especially for business travelers, and help coordinate amenities, when applicable
  • Review no-show reports daily and assist with communicating to third party partners, when applicable
  • Monitor VHLV-Leisure Sales email inbox regularly
  • Organize and maintain filing systems (physical and electronic)
  • Assist with any other specialized tasks as assigned by Director of Leisure Sales and/or Revenue Management and Distribution Teammates
  • Track and log any errors identified during the booking process(es) and review with Director of Leisure Sales
  • Cooperate and coordinate with all related departments to deliver the best service possible, when applicable
  • Complete administrative tasks when assigned, including but not limited to assisting Director of Leisure Sales with reports, travel schedule and arrangements, meeting requests, etc.
  • Follow Virgin Hotels Las Vegas standards and procedures
  • Other duties as assigned

MUST HAVE'S
  • Current, legal, and unrestricted ability to work in the United States
  • The skills and abilities necessary for this position are typically acquired through the completion of a high school degree, or equivalent
  • Two (2) years Leisure Sales Coordinator experience or related field, or equivalent experience.
  • Ability to speak English is required
  • Proficient computer experience, including knowledge of Microsoft Office products
  • Ability to withstand a sedentary environment
  • Review, comprehend, and respond to all necessary documentation with a strong attention to detail
  • Always communicate effectively with all levels of Teammates as well as all external contacts
WOULD BE NICE TO HAVE'S
  • Minimum one year experience in administration, or a similar role.
  • Familiarity with AS/400 (Agilysys LMS) system and third-party extranets
  • Minimum typing speed of 45 WPM preferred
