Under the general supervision of the Client Experience Specialist, the Legal Secretary will provide administrative and document processing support to assigned groups of attorneys and/or paralegals and will serve GBA clients in a manner consistent with our core values and mission. This is a full-time non-exempt position, working 40 hours per week, and residing onsite at the Plano office. The right candidate must have 2+ years of legal secretary experience, preferably in the areas of family law and litigation, along with attention to detail, strong organizational and drafting skills, and the ability to communicate effectively, both written and verbal.

Duties & Responsibilities:
  • Prepare legal documents and correspondence requiring knowledge of legal terminology and document formats such as pleadings, motions, and court orders for review, approval, and use by attorneys.
  • Scan, distribute, and manage legal documents and client files stored in the firm's document management database.
  • Prepare clients and equipment for remote hearings and other court proceedings.
  • File pleadings, deeds, and request orders from court clerks.
  • Provide backup support to the front desk, answering telephones, delivering accurate and timely messages, directing clients and guests to conference rooms, and maintaining public spaces within the office.
  • Assist attorney and paralegal teams with opening and closing client files, including fee agreements, welcome letters, closing letters, referral thank you acknowledgments, conflict checks, and client portal setup in the Firm's billing platform.
  • Download and save text messages to prepare as evidence for legal court proceedings.
  • Coordinate delivery of subpoenas to witnesses and parties to action.
  • Assist attorney and paralegal teams in preparation of mediations, depositions, hearings, trials, and conferences.
  • Calendar relevant due dates, and prepare correspondence to clients, courts, opposing counsel, and/or opposing parties in connection with discovery, withdrawals, and vacations.
  • Assist clients to comply with discovery requests and compile requested documents.
  • May assist attorney and paralegal teams with client collections, including billing reports, correspondence, and payment processing.
  • May conduct intake calls with potential new clients and collaborate with attorneys and paralegal teams in preparation for the initial consultation.
Job requirements:
  • Undergraduate degree or certification is not required but a plus
  • 2+ years of legal secretary experience, preferably in litigation and family law
  • Exceptional verbal and written communications skills, with superior attention to detail
  • Excellent prioritization, problem solving, and time management skills
  • Ability to learn and utilize new software, technology, and techniques as needed to meet the changing demands of the legal marketplace
  • Creativity, flexibility, and adaptability in a fast-paced work environment
