We are seeking a skilled and detail-oriented Legal Secretary to join our team supporting our commercial litigation practice. This position requires a candidate with prior experience in a law office and a strong background in litigation. The ideal candidate will play a critical role in providing administrative support, handling e-filing, and ensuring smooth case management. Familiarity with NYSCEF, PACER, and court procedures is essential. Candidates without law firm or litigation experience will not be considered.
Key Responsibilities:
- Perform general administrative tasks, including calendaring, scheduling meetings, organizing documents, and maintaining client files.
- Manage electronic filings through systems such as NYSCEF and PACER, ensuring compliance with court submission requirements.
- Prepare, format, and proofread legal documents, correspondence, and pleadings for various stages of litigation.
- Coordinate with attorneys, clients, and court personnel to manage deadlines and case progress.
- Conduct basic research to support attorneys in trial preparation and legal proceedings.
- Answer incoming calls, manage emails, and handle incoming/outgoing mail while maintaining confidentiality.
- Maintain familiarity with court rules and procedures at the local, state, and federal levels.
Qualifications:
- Law Firm Experience: Minimum of 2 years of experience working in a law office environment, specifically in litigation. Commercial litigation experience highly preferred.
- E-Filing Proficiency: Advanced familiarity with NYSCEF (New York State Courts E-Filing) and PACER (Public Access to Court Electronic Records).
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and legal practice management software.
- Knowledge of Court Procedures: Strong understanding of legal terminology and court filing/document submission processes.
- Attention to Detail: Exceptional organizational and proofreading skills with the ability to prioritize and meet tight deadlines.
- Communication Skills: Strong verbal and written communication skills to interact effectively with attorneys, clients, and court officials.
