The Legal Secretary will play a critical role in ensuring the smooth operation of the attorneys' practices by providing administrative and legal support in a fast-paced environment. The ideal candidate is highly organized, detail-oriented, and capable of handling confidential information with discretion. Experience supporting attorneys in litigation and/or trusts and estates is strongly preferred.

They foster a collaborative and professional work environment, and we are seeking a polished, proactive Legal Secretary to support two high-performing attorneys.

Description


  • Provide administrative support to two attorneys, including calendar management, travel arrangements, and meeting coordination

  • Draft, format, and proofread legal documents and correspondence, including pleadings, memos, contracts, and estate planning documents

  • Manage incoming and outgoing mail, e-filings, and court submissions, ensuring compliance with deadlines and procedural requirements

  • Organize and maintain physical and electronic filing systems in accordance with firm protocols

  • Communicate with clients, courts, and other law firms with professionalism and discretion

  • Assist with billing and time entry, tracking attorney hours and client matters

  • Handle confidential client and case information with the highest level of integrity and security

  • Provide backup support to other administrative staff as needed


Profile


  • 5+ years of experience as a legal secretary, preferably within a law firm environment

  • Strong knowledge of litigation procedures and/or trusts and estates documentation

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and legal document management systems

  • Excellent written and verbal communication skills

  • Ability to prioritize multiple tasks and meet deadlines under pressure

  • Exceptional attention to detail and organizational skills

  • Professional demeanor and strong interpersonal skills

  • Experience with billing software (e.g., Elite, Timeslips, Clio) is a plus
