Position Overview:

We're looking for a polished and people-focused professional to be the welcoming face and central hub of our law firm. This role is far more than answering phones or managing calendars-it's about creating an exceptional client experience from the very first interaction. As the Legal Receptionist and Intake Specialist, you'll be the first point of contact for prospective and existing clients, setting the tone for trust, professionalism, and care. You'll play a key role in client intake, appointment coordination, and front office management, ensuring that every guest and caller feels heard, helped, and valued. Key Responsibilities:

  • Warmly greet visitors and clients, creating a professional and welcoming environment
  • Answer incoming phone calls, addressing all inquiries in a courteous and professional manner and providing exceptional service
  • Conduct initial consultations with potential clients to gather relevant case information and promote the firm's services
  • Ensure client case files are accurately input and updated in our systems
  • Assist in the preparation of client materials and documents as needed
  • Schedule appointments/client consultations, and manage calendars for lawyers and personnel
  • Provide general office support, including handling incoming/outgoing mail and deliveries, scanning documents, and ordering office supplies as needed
  • Ensure the office space is kept clean and organized
  • Contribute to a team-oriented environment, actively engaging in firm initiatives and culture-building activities
  • Perform other administrative tasks as assigned

Qualifications:

  • High school diploma or equivalent or better
  • Minimum of 2 years of experience in a sales role, call center or customer service role; preferably in retail sales or a professional services environment
  • Excellent verbal and written communication skills and the ability to effectively communicate the value of legal services
  • Exceptional interpersonal skills, with a focus on rapport-building and active listening
  • Ability to multitask and prioritize in a fast-paced environment
  • Robust organizational abilities coupled with a keen eye for detail
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and comfortable learning new technology
  • Ability to uphold the highest level of confidentiality and exercise discretion
  • A proactive, self-motivated work ethic and eagerness to contribute to a collaborative and accountable team

Compensation and Benefits:

  • $22 - $27 per hour; based upon skill set and experience and includes the opportunity to qualify for performance incentives
  • Performance incentives package based on individual and team achievements.
  • Benefits include health coverage as well as vacation and paid time off policy to support work-life balance after probationary period of 90 days is completed.
