Legal Office Support & Scheduling Assistant - Position in Naples, FL
Our growing and reputable law firm is seeking a skilled Legal Office Assistant to help support its team in Naples, Florida. This is an excellent opportunity to contribute to a dynamic and fast-paced environment and join our team. The ideal candidate will work closely with the office manager, paralegals and other support staff, take initiative, be well organized and detail-oriented, provide exceptional customer service, work independently and manage multiple tasks during the course of a single business day.
Key Responsibilities:
- Schedule deadlines, hearings, depositions, mediations, conferences, and other events using a variety of ancillary systems and programs is required
- Maintain and organize electronic case files from the E-Service portal
- Work closely with our attorneys and paralegals each day by answering and directing telephone calls, and coordinating meetings
- Update files with case status and information daily
- Assist paralegals in compiling and organizing documents and records, as well as to assist them in preparing binders and/or folders.
- Assist the office manager in a variety of duties including, but not limited to, receiving in and allocating client payments, scanning/categorizing/opening and closing client files
- Conduct light reception duties as back up to the receptionist by greeting clients, visitors and other professionals, answering phones, routing calls, and preparing conference rooms for meetings
Requirements and Qualifications:
- Must have at least 2-3 years of experience as a legal support assistant
- Familiarity with legal procedures & terminology
- Strong verbal and written communication skills
- Experience with electronic filing in state and federal courts and calendaring
- Knowledge of the litigation process
- Knowledge of court procedures including, but not limited to Florida E-Filing (ECF)
- Case Management and Document management using Microsoft Outlook, Word, Excel, Adobe, E-file legal documents in Florida's E-Portal System
- Ability to multi-task in a fast-paced environment and staying calm under pressure of multiple deadlines is essential
- Good written and verbal communication skills, good common sense, and excellent problem solving skills
- Detail oriented, work well under pressure, and have a good attendance record
