Job Title: Legal Assistant/Receptionist - Plaintiff's Personal Injury Law Firm
Job Summary:
We are seeking a dedicated, organized, and detail-oriented Legal Assistant/Receptionist to join our dynamic and fast-paced plaintiff's personal injury law firm. In this pivotal role, you will serve as both the first point of contact for clients and a key support member of our legal team. Your responsibilities will include requesting medical records, managing the firm's calendar, drafting and sending correspondence, answering phones, and assisting with various office tasks as needed. The successful candidate will have excellent multitasking abilities, strong communication skills, and the capability to thrive in a busy professional environment.
Key Responsibilities:
- Request and Follow Up on Medical Records: Obtain, track, and organize medical records and related documentation to support personal injury cases.
- Calendar Management: Coordinate and maintain the legal team's schedules, including court dates, client meetings, and deadlines, ensuring all critical dates are tracked and updated.
- Correspondence: Draft, review, and send letters and emails to clients, medical providers, insurance companies, and other relevant parties.
- Reception Duties: Answer, screen, and route incoming phone calls professionally and efficiently. Greet clients and visitors with a welcoming demeanor and assist them as needed.
- Administrative Support: Assist with filing, data entry, document preparation, and other office tasks to ensure the smooth operation of the firm.
- Case File Organization: Maintain and update physical and electronic case files to keep records orderly and accessible to attorneys and paralegals.
- Client Interaction: Communicate clearly and empathetically with clients to gather case information, provide updates, and address any inquiries.
- Other Duties as Assigned: Provide general assistance to the legal team as needed to meet the demands of a busy practice.
Qualifications:
- Must have excellent writing and verbal communication skills.
- Previous experience in a law firm, specifically in personal injury, strongly preferred.
- Familiarity with requesting medical records and working with sensitive documentation.
- Strong organizational and multitasking skills to handle a high volume of work efficiently.
- Excellent written and verbal communication skills.
- Proficiency with office software, including Microsoft Office Suite (Word, Excel, Outlook), and case management systems (experience with legal software such as Clio or Needles is a plus).
- Ability to maintain professionalism and confidentiality in all client and legal interactions.
- Friendly and customer-focused demeanor to provide exceptional client service.
- High school diploma or equivalent required; additional education or certifications in legal studies are a plus.
Work Environment:
This position is an in-office role located at our downtown St. Louis office. The Legal Assistant/Receptionist will work closely with attorneys. Some cases may require handling time-sensitive tasks, so adaptability and the ability to work under pressure are essential.
