Key Responsibilities:
- Provide administrative support to transactional and real estate attorneys, including calendar management, scheduling meetings, and preparing documents for client transactions.
- Draft, proofread, and edit legal documents such as contracts, real estate documents, corporate resolutions, and other legal correspondence.
- Assist with the preparation and filing of documents with the Secretary of State, and other relevant entities.
- Conduct legal research and prepare summaries on various transactional matters.
- Open and maintain new client files, ensuring all necessary documentation is organized and up to date.
- Prepare engagement letters and other client-related documentation, ensuring all terms are clearly outlined and accurate.
- Monitor and manage attorney timekeeping, ensuring accurate and timely entry of billable hours into the firm's timekeeping system.
- Prepare, review, and submit attorney expense reports and track associated billing.
- Manage and organize client files, including maintaining accurate and up-to-date records of ongoing transactions and legal matters.
- Assist in the preparation for meetings, conference calls, and presentations, ensuring all materials are organized and prepared in advance.
Qualifications:
- 5+ years of experience working as a legal assistant in a law firm
- Strong knowledge of corporate law, transactional procedures, and commercial real estate matters.
- Excellent written and verbal communication skills with strong attention to detail.
- Ability to multitask in a fast-paced environment and meet deadlines effectively.
- Strong organizational and problem-solving skills.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and legal software platforms (e.g., iManage, Relativity).
- Experience with timekeeping and billing systems, preferably in a law firm environment.
