Oxford Properties is looking for a highly legal administrative assistant to join our Oxford Legal team as Legal Administrative Assistant in New York. In this role you will be responsible for providing real estate and corporate support and partnership to our US-based legal team. Your excellent leadership, organization and communication skills and acumen will be a key to your success. This is an excellent opportunity to be a part of a winning organization. To qualify for this role you must have at least 5 years' experience and demonstrated success in a similar role, preferably at a Property Management/Real Estate Investment Company or law firm.
As a Legal Administrative Assistant on the Oxford Legal team, you will be responsible for: - Providing general administrative support to lawyers, including calendar management, travel planning, and expense reporting;
- Sending and tracking outgoing legal notices and managing all incoming mail for the US legal team;
- Coordinating and obtaining original and electronic signatures, often from senior management, on documentation in connection with investments, leasing, asset management and property management (will need to become a notary public if not already);
- Providing support for tracking and document management of construction, consulting and vendor agreements for operating assets in the US, as well as providing support for lease documentation and management and landlord/tenant matters;
- Organizing and tracking projects to support transactions and overall objectives of US-based legal team (e.g., processing and tracking nondisclosure agreements for the investment team); and
- Drafting correspondence.
To succeed in this role, you: - Possess a college degree;
- Have at least 5 years' experience in a corporate environment (preferably Property Management/Real Estate Investment Company) or law firm;
- Possess excellent written and verbal communication skills combined with the ability to communicate effectively across all levels;
- Are proficient with computers, including Microsoft Office (Word, Outlook, One Note, Teams, Visio and Excel);
- Will demonstrate strong attention to detail; and
- Have excellent judgment, organization and ability to work independently.
Experience with the following will be considered an asset: - Legal management systems (for example, iManage, Legal Tracker) and general office management systems (for example, SharePoint, Concur); and
- DocuSign.
As required by New York law, OMERS & Oxford provides a reasonable range of base salary for each role that is advertised in New York. The salary offered to the successful candidate will consider a wide array of factors including but not limited to the individual's skill set and level of experience applicable to the role they are being offered. For New York only, the annualized base salary range for this role is $65,000 - $90,000. You may also be eligible to receive an annual Incentive Award which may include Short-term Incentive, benefits, and/or retirement savings plan - details on these elements of compensation are included within OMERS & Oxford offer letters.
The annualized base salary ranges for the primary location and any additional locations are listed below. The base salary that is ultimately offered to the successful candidate will consider a wide array of factors including but not limited to the individual's skill set.
