Job DetailsWe are seeking a dynamic and proactive Legal Administrative Assistant to join our team and support three of our Corporate, Trusts, & Estates Attorneys. This is a permanent, full-time position that offers a unique opportunity to work in a fast-paced, high-energy environment. The ideal candidate will have a strong background in administrative support, with a specific focus on legal document creation, report preparation, managing calendars, expenses, and travel. This role requires a high level of organization, attention to detail, and the ability to manage multiple tasks simultaneously. The candidate will have the opportunity to interact with various departments, providing a comprehensive understanding of our legal operations.
Responsibilities:
- Provide full administrative support to a team of attorneys, including scheduling meetings, managing calendars, and coordinating travel arrangements.
- Prepare, edit, and proofread legal documents and correspondence, ensuring accuracy and compliance with applicable legal standards and regulations.
- Manage data entry tasks, ensuring that all information is accurate and up-to-date.
- Assist in the preparation and management of case files, including organizing and indexing legal documents.
- Use software such as iManage, Aderant, and InTapp to manage case information, track time, and generate reports.
- Maintain a high level of confidentiality in all interactions.
- Participate in team meetings, taking minutes and tracking action items as necessary.
- Coordinate with other departments to gather and exchange information as needed.
Qualifications:
- 3+ years of experience in an administrative or paralegal role, within a legal environment.
- Bachelor's degree or equivalent experience in a related legal field is preferred.
- Prior experience supporting attorneys in Corporate, Trusts, & Estates practice groups
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).
- Strong data entry skills, with an emphasis on accuracy and attention to detail.
- Excellent organizational skills, with the ability to manage multiple tasks and priorities simultaneously.
- Experience with legal documentation and report preparation.
- Familiarity with legal management software, specifically iManage, Aderant, and InTapp are preferred.
- Exceptional communication skills, both written and verbal.
- Ability to work both independently and as part of a team.
- High level of discretion and confidentiality.
