About the Role

The Legal Administrative Assistant plays a key role in supporting our legal team by maintaining organization, managing administrative tasks, and ensuring the smooth operation of legal workflows. This role works closely alongside two additional Legal Assistants in a collaborative environment that values teamwork, confidentiality, and professionalism. The Legal Assistant also handles sensitive client information with care and precision.

About The Candidate
You are a highly organized, detail-driven professional with proven experience in legal administrative support. You excel at managing complex schedules, keeping attorneys prepared and on track. You take direction well, yet demonstrate initiative and resourcefulness in getting things done independently.

Key Responsibilities
  • Client & Court Communication: Serves as a primary liaison to clients, courts, and administrative agencies; managing communications via phone, email, and in person.
  • System Oversight: Maintains and improves key firm systems, including case management, document management, and CRM platforms.
  • Schedule & Task Management: Coordinates firm and team calendars by scheduling appointments, setting deadlines, and ensuring schedules are optimized for efficiency.
  • Legal Correspondence & Document Prep: Drafts and finalizes legal correspondence; ensuring materials are court-ready and delivered to appropriate parties.
  • Court Appearance Prep: Prepares necessary materials for attorneys ahead of meetings and court appearances.
  • Message Management: Retrieves, documents, and delivers emails and voicemails, ensuring proper filing and communication flow.
  • Legal Support: Assists with Fee Arbitration, Early Settlement Panels, Pleadings, and Case Information Statements.
  • Client Intake & Office Support: Provides backup support for reception and intake, including scheduling, client communication, and payment processing.
Skills, Knowledge and Expertise
  • Legal Experience: Prior work in a law firm or legal department, with familiarity in managing sensitive legal matters.
  • Education: Associate's degree preferred.
  • Technical Skills: Proficient in Microsoft Office and legal practice management software, with strong typing and transcription abilities.
  • Client & Office Management: Experienced in client relations, meeting coordination, and maintaining confidentiality.
  • Communication: Excellent verbal and written communication skills.
  • Professional Ethics: Committed to upholding confidentiality and legal ethical standards.
