Job Description: We are seeking a dedicated Administrative Assistant to support our client's legal team. This role involves handling various administrative tasks, aiding in litigation processes, and maintaining efficient office operations.
Key Responsibilities:- Draft and proofread legal documents including pleadings, discovery responses, and correspondence.
- Prepare legal documents such as summonses, complaints, motions, subpoenas, and final briefs.
- Communicate with clients, courts, and vendors.
- Collaborate with the billing department to ensure accurate client billing.
- Manage attorney expense reimbursements and vendor invoices.
- Create and maintain hearing, deposition, and trial binders.
- Handle incoming and outgoing mail, including coordinating messenger pick-ups and deliveries.
- Set up and manage firm and client-related meetings.
- Maintain attorney calendars, contacts, and physical/electronic filing systems.
- Perform document conversions and input attorney time entries.
- Coordinate travel arrangements and the New Matter Intake process.
- Prepare inactive case files for archives and off-site storage.
- Provide back-up support and vacation coverage for other administrative assistants.
Qualifications:- Bachelor's degree or relevant experience.
- 3-5 years of experience as a legal secretary or administrative assistant.
- Experience supporting litigation practices, including knowledge of court rules and e-filing procedures.
- Experience supporting 3+ attornies
- Proficiency in NetDocuments, Microsoft Excel, Outlook, and PowerPoint.
