We have an immediate need for a Legal Administrative Assistant/Executive Assistant to work in the Finance/Real Estate department of a busy law firm in Baltimore. This is a full time direct hire opportunity that offers an excellent salary and benefits package. This position offers a hybrid schedule.
Job Duties Include:
- Provide Executive level administrative support
- Internal and external communications, calendar management, travel and meeting logistics, and office organization.
- Assisting lawyers with preparing, organizing, proofreading and assembling closing documents and coordinating closing and post-closing logistics.
- Working with dashboard reports.
- Administrative duties include scheduling regular and ad hoc meetings and appointments, maintaining calendars and contact information and assisting with the tracking and the management of return communications.
- Assisting with drafting correspondence, and preparing meeting agendas, presentation materials, minutes, and other internal communications.
- Integrating the files with the firm's records management system to ensure proper tracking, retention, and destruction of files.
Job Requirements Include:
- Relevant experience in a law firm or similar professional services environment required.
- Bachelor's degree preferred.
- Must be highly proficient with the Microsoft Office suite, including Word, Excel, PowerPoint and Outlook, and document management and time keeping applications.
- Knowledge of all phases of a transaction, from due diligence and term sheet stage through financing and closing preferred.
- Strong organization skills and the ability to manage multiple priorities effectively and efficiently.
- The ability to interact professionally and productively with lawyers and business professionals at all levels of the firm in a fast-paced environment, sometimes under pressure.
