Job Description Position Summary The Retail Lease Administrator oversees retail leases across the company's multifamily property portfolio. Key responsibilities include processing leases to ensure data accuracy, issuing rent statements, reconciling CAM and tax expenses, billing utilities, and providing exceptional customer service to business partners and tenants. This critical role manages end-to-end retail lease administration, from lease inception to expiration, enabling the company to build strong tenant relationships and maximize retail revenue. Essential Job Functions Administering leases of managed retail properties to ensure proper billing according to the terms of the Tenant Leases. Prepare rent statements and tenant invoices & send statements out to retail tenants. Prepare CAM and Tax reconciliations. Calculate monthly accruals. Track sales, calculate percentage rent. Review new leases and enter lease data into Yardi. (30%) Manage internal lease inquiries from analysts, Asset Managers and on-site partners. Manage external lease inquiries from lenders, tenants. Resolve Tenant billing disputes/audits. Correspond with tenants as needed/requested. Send tenant default notices for minor lease infractions. Forward tenant account information to attorneys for default proceedings when necessary. (20%) Daily recording of bank deposits and/or checks; Perform reconciliation of payments and customer accounts. Strengthen and grow relationships with Tenants by communicating with Tenants regarding past due balances. Responding to customer inquiries about billing. (20%) Ad hoc and special projects as needed in support of the Retail Department VP and Directors. (20%) Maintain department file storage drive: post leases, correspondence, plans, broker agreements to central drive. Track Certificates of Insurance (COI's), letters of credit, security deposits. Collect documentation supporting Tenant Improvement Allowance requests. Manage monthly retail report. (10%) Education This position requires a(n) Associate Degree in Accounting, Finance, Real Estate, Economics, or Business Administration. Additional degree(s) that are preferred for this position include: Undergraduate (Bachelor) Degree in Accounting, Finance, Real Estate, Economics, or Business Administration. Work Experience Below is the required/preferred work experience for this position: 3 - 4 Years: Retail Lease Administration - Required 3 - 4 Years: MRI or Yardi Software Experience - Preferred Note: 5 - 7 Years of experience can offset minimum educational requirements for this position.
