OBJECTIVE: Will professionally represent River Oaks Properties with the duties outlined below with staff members and the public for the purpose of furthering the business interests of ROP and supporting the efforts of each employee.
PRINCIPAL DUTIES AND RESPONSIBILITIES:
- Activate leasing activity in Yardi to reflect relevant lease terms (to include lease dates, rental amounts, CAM related details, etc.).
- Post charges as needed per executed documents (new leases, renewals, assignments, move outs, etc.).
- Gather information and audit the timing of CDA preparation. Information will come from the Construction Department, Property Management, and Leasing Agents.
- Update Tenant Contact Information such as contact changes to and from Tenants and/or any leasing related correspondence from Tenants.
- Manage sensitive and/or highly confidential information (e.g., tenants' credit information, social security numbers, dates of birth, ) and situations (e.g., tenant disputes, company litigation, etc.) in a professional and confidential manner.
- Maintain Tenants' insurance certificates in each Tenant's lease file; mail reminder and insurance default notices as needed; follow-up with phone calls; record in Yardi; provide report at leasing meeting when tenants are not in compliance.
- Assist Accounting Mgr-Lease Audit with maintaining the Gross Sales Report.
- Assist Lease Administration Support as backup when needed.
Accounting Duties to include:
- Annual CAM, Tax and Insurance Reconciliations: Analyze reconciliation expense pool set-ups in Yardi. Ensure that all reconciliation guidelines accurately reflect the terms of the lease. Assist with reconciling all annual billings in a timely manner.
Construction Duties to include:
- Assist Tenant Improvement Supervisor's with Construction Close Out Packets as backup when needed
General Duties to include:
- Assist front desk during when needed (answer phone & direct calls, enter leads into Leasing Manager, receive payments, greet and direct clients/visitors/vendors per ROP's reception script).
- Other associated tasks as assigned by Management.
Minimum Education & Experience Requirements
- High School Diploma or GED equivalent
- 2 years work experience in an administrative related position
Minimum Knowledge, Skills & Abilities (KSA)
- Phone & receive etiquette to include:
- Oral and written bi-lingual skills: English and Spanish
- Office professional attire and grooming
- Interpersonal skills, demonstrating poise, tact and diplomacy in sensitive and/or confidential situations
- Working knowledge of Windows Office Suite
- Attention to detail
- Time management and organizational skills
- Knowledge of general business practices
- Knowledgeable operation of standard office equipment at a level generally acquired through 2 years related experience
NOTE: Though not a requirement, oral and written Bi-lingual (English/Spanish) skills are helpful.
