M2 Search Partners, Inc. has partnered with one of Jacksonville's leading employers in their search for a Lease Administration Manager to join their team. This position will oversee the management and compliance of our client's commercial lease portfolio. This role reports to senior leadership within the accounting department and is responsible for ensuring compliance with lease contract terms, tracking financial obligations, and maintaining accurate lease records.


This is a hybrid role at our client's Jacksonville, FL headquarters.


Duties:

  • Oversee lease payment processing and review monthly invoices to ensure accurate and timely payments.
  • Manage a small team of lease administration professionals, providing guidance, performance management, and ongoing training.
  • Provide abstracts of all lease documents. Maintain and update lease records, ensuring accurate documentation of new leases, renewals, amendments, and terminations in the lease management system.
  • Review and process rent invoices, reconcile annual rent and Common Area Maintenance (CAM) charges, and other financial obligations to ensure accuracy and compliance with lease agreements.
  • Generate and analyze weekly, monthly and quarterly lease-related reports for internal stakeholders, assisting with inquiries and issue resolution.
  • Reviews, processes and maintains all pertinent data related to leased aviation assets.
  • Track and monitor key lease dates such as expirations, renewals, rent escalations, and compliance deadlines.
  • Collaborate with finance, legal, and real estate teams to support lease negotiations and strategic decision-making.
  • Assist with broader real estate portfolio management, including administrative, financial, and legal responsibilities.

Requirements:

  • Bachelor's degree in business administration, real estate, property management, finance, or a related field.
  • 5+ years of experience in lease administration, property management, or a related area.
  • 2+ years of team management experience.
  • Strong understanding of lease terminology, documentation, and financial obligations.
  • Excellent organizational, communication, and analytical skills.
  • Proficiency in lease administration software and Microsoft Office Suite (preferred).
