Lead Property Operations Manager

Our client is actively seeking a seasoned Lead Property Operations Manager to enhance the performance of a diverse portfolio that includes retail strip centers, office buildings, and mixed-use office/warehouse business parks. This pivotal role focuses on driving property success, ensuring tenant satisfaction, and fostering robust relationships with vendors and other key stakeholders. We are looking for a dynamic leader who possesses extensive experience in commercial property management, construction coordination, facilities oversight, financial management, and a demonstrated ability to effectively handle multiple properties.

REQUIREMENTS
  • RPA or CPM certification preferred.
  • A minimum of 8 years' experience in property and facilities management, ideally encompassing both areas.
  • Strong financial expertise in budgeting, financial reporting, and lease administration.
  • Comprehensive knowledge of all facets of property management, including construction oversight.
  • Experience managing a portfolio of three or more properties.
  • Exceptional communication and interpersonal skills, capable of building and nurturing relationships with tenants, vendors, and internal teams.
  • Excellent organizational and problem-solving abilities, adept at juggling multiple priorities and deadlines.
  • Other duties may be assigned as needed.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES
  • Oversee daily operations of the property portfolio, ensuring maintenance is upheld at the highest standards.
  • Develop and implement strategies to enhance property performance, focusing on tenant retention, lease administration (supported by in-house counsel), and operational efficiencies.
  • Create and manage annual operating budgets, tracking variances to facilitate a smooth CAM recovery process. Collaborate closely with the Owner and Accounting Manager during budgeting.
  • Monitor and manage capital improvement initiatives, ensuring timely completion within budget constraints, including tenant improvements and common area projects. Assist in managing new ground-up construction projects as needed.
  • Negotiate vendor contracts and explore new vendor sources when necessary. Ensure compliance with established service agreement standards through consistent vendor performance monitoring.
  • Review and approve financial payables.
  • Actively collect overdue rents and ensure tenant compliance with lease agreements.
  • Provide on-site guidance to in-house maintenance teams and oversee third-party maintenance partners.
  • Conduct regular site visits to assess property conditions, determine maintenance needs, and gauge tenant satisfaction. Report deficiencies directly to ownership with viable, cost-effective solutions. This includes areas in Orange County on a weekly basis and a few trips annually to San Jose and Riverside County.
  • Manage tenant relations by addressing concerns, handling requests, and ensuring compliance with lease terms.
  • Coordinate tenant move-ins and move-outs to ensure smooth transitions with minimal disruption.
  • Ensure adherence to local, state, and federal regulations concerning property operations, including safety and environmental standards.
  • Provide executive management with updates on property performance, tenant relations, and strategic initiatives.
  • Maintain a professional and positive image in daily interactions both internally and externally.
  • Proactively build and maintain strong relationships with owners by being responsive to their needs and requests.
Salary range depends on experience and certifications (such as RPA or CPM). $100,000 - $150,000, plus benefits, life insurance, 401k, and bonus potential.
