ARS is seeking an experienced Lead Events Specialist to strategically plan and execute high-profile events that connect defense innovation stakeholders across government, industry, and academia. This role will lead the conception, planning, and delivery of professional events ranging from small executive meetings to large conferences that showcase cutting-edge technologies and foster collaboration. Responsibilities include: Lead the strategic planning and execution of high-quality events that advance program objectives
Design comprehensive event strategies that effectively engage target audiences and meet organizational goals
Coordinate all logistical aspects including venue selection, equipment, transportation, accommodations, and catering
Develop detailed event timelines, run-of-show documents, and staffing plans
Ensure consistent branding and messaging across all event elements
Oversee event operations and staff to ensure professional execution and attendee satisfaction
Manage event budgets, track expenses, and ensure cost-effective execution
Negotiate with vendors and suppliers to secure optimal services within budget constraints
Collaborate with communications team to promote events and generate participation
Ensure adherence to protocol requirements for government and military participants
Identify and mitigate potential risks associated with event execution
Coordinate security requirements and clearance procedures for sensitive events
Conduct post-event evaluations to assess success and identify improvement opportunities
Mentor and supervise event team members, providing guidance and professional development
Research innovative event formats and technologies to enhance attendee experience
Other duties as assigned
Qualifications/ Technical Experience Requirements: Must be a US citizen
Bachelor's degree in Event Management, Hospitality, Marketing, Communications, or related field
8+ years of experience in event planning and management, with at least 3 years in a leadership role
Proven track record managing complex events with diverse stakeholder groups
Experience with both in-person and virtual/hybrid event formats
Strong leadership skills with ability to guide teams through complex event execution
Excellent project management abilities including budgeting and vendor management
Exceptional organizational skills with attention to detail and contingency planning
Strong verbal and written communication skills
Proficiency with event management software and tools
Experience with risk management and crisis planning for events
Ability to work under pressure and adapt to changing circumstances
Ability to obtain and maintain required security clearance
Willingness to travel (approximately 25-30%)
Desired Qualifications: Certified Meeting Professional (CMP) or similar event management certification
Experience working with government, military, or defense industry events
Knowledge of government travel regulations and reimbursement processes
Background in technical conferences or innovation-focused events
Experience with trade show or exhibition management
Understanding of government protocol and security requirements
Background in strategic communications or marketing
Experience managing events in multiple geographic locations
Knowledge of federal contracting and procurement processes for event services
Understanding of accessibility requirements for government events
