Law Firm Office Manager - Pittsburgh, PA - Competitive Salary ($90K-$120K)

In this pivotal role, you will be responsible for ensuring the smooth and efficient day-to-day functioning of our office, supporting our attorneys and staff, and fostering a positive and professional workplace.
Key Responsibilities:
- Office Administration & Facilities: Oversee all aspects of office administration, including vendor management (IT, maintenance, supplies), facilities upkeep, and ensuring a well-organized and functional workspace.
- Team Leadership & Supervision: Manage and mentor administrative staff, including receptionists, legal secretaries, and paralegals. Responsibilities include hiring, training, performance evaluation, and fostering a collaborative team environment.
- Policy & Procedure Development: Develop, implement, and maintain office policies and procedures to optimize efficiency and compliance.
- Financial Administration Support: Assist with budget preparation, monitor expenses, process invoices, manage accounts payable/receivable, and collaborate with accounting personnel.
- Human Resources Support: Support HR functions such as onboarding/offboarding, maintaining employee records, administering benefits, and ensuring adherence to labor laws.
- Communication & Collaboration: Facilitate clear and effective communication among attorneys, staff, and clients, ensuring seamless internal and external interactions.
- Event & Meeting Coordination: Plan and coordinate firm events, internal meetings, and external conferences.
- Technology & Systems Management: Manage and maintain office equipment and software, including proficiency in legal practice management software (preferred).
- Information Management: Maintain organized and secure filing systems (physical and electronic), ensuring easy access to critical information.
- Proactive Support: Anticipate and address the needs of attorneys and staff to maximize productivity and minimize disruptions.
- Calendar & Scheduling Management: Oversee the firm's calendar and scheduling to ensure efficient time management.
- Confidentiality & Professionalism: Handle sensitive information with the utmost discretion and maintain a professional demeanor at all times.
- Project Management: Undertake various administrative tasks and projects as assigned.
Qualifications:
- Bachelor's Degree (BA/BS) is mandatory.
- 5+ years of proven Office Manager experience within a Law Firm is absolutely essential.
- Demonstrated success in managing and leading administrative teams within a legal environment.
- Comprehensive understanding of law firm operations, legal terminology, and common legal procedures.
- Exceptional organizational, time management, and multitasking abilities to manage competing priorities effectively.
- Outstanding written and verbal communication skills, with the ability to interact professionally with all stakeholders.
- Strong proficiency in the Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Experience with legal practice management software is highly desirable.
- Ability to work both independently and collaboratively within a team setting.
- Strong problem-solving and decision-making skills with a proactive approach.

Compensation & Benefits:
- Competitive salary range of $90,000 - $120,000 per year, commensurate with experience and qualifications.
