JOB SUMMARY: The administrator position is responsible for assisting the Vice President of Land (at times Forward Planning staff) in coordinating a wide range of critical tasks for the Division that involve contractors, vendors, suppliers related to the Land development and planning function.
ESSENTIAL DUTIES AND RESPONSIBILITIES: Manage administrative and accounting related functions including processing of invoices, preparation of contracts, updating of budgets, accounting system (HB1) data entry, accounts payable tracking and research, waiver collection for invoicing, performance bond process and reporting, fee payments. Assist proposal process and issuance of work agreements.
- Code & process contract progress payments, retention billings, utility billings, and miscellaneous invoices for review and approval. Reconcile and research contract accounts for correct payment settlements. Work closely with National Accounts Payable (NAPA) to track payment status and/or resolve non-payment issues for vendors.
- Develop contract exhibits and enter addendums in the accounting system based on direction from project managers.
- Track and notice Subcontractors to ensure required contract submissions are received in a timely manner.
- Perform aspects of contract tasks including template entry and assist in exhibit creation, ensure that signed contracts are received back timely.
- Manage new vendor set-up. Work closely with the NAPA to help trouble-shoot any vendor setup issues.
- Review and update project filing system to ensure it is up to date with all required documents, contracts, invoices, payment spreadsheets, acceptance letters, and miscellaneous reports.
- Assist in acquisition of Project stormwater permits.
EDUCATION/EXPERIENCE/MINIMUM REQUIREMENTS: Education/Certifications - College degree in Accounting/Finance preferred or equivalent experience.
Experience - 3 to 5 years of experience in construction project accounting or demonstrate the ability to handle the responsibilities.
- Experience within the land development or forward planning is an advantage.
Knowledge, Skills & Abilities - Excel and Word, need to be able to develop spreadsheets without instruction (no Macros) to reconcile quantities and valuations between contracts, pay estimates, and accounting system.
- Must be a self-starter with the ability to work independently.
- Must be a proactive problem solver.
- Must be able to multi-task while maintaining priorities.
- Must be able to shift gears throughout a day as priorities change based on projects demands.
- Must seamlessly have a high attention to detail while working on volumes of work.
- Must be comfortable to use tutorials to learn procedures in the accounting system.
Work Requirements - Position reports to the Roseville office M-F 8-5.
- Position may require periodic travel to project sites.
- Periodic increases in workload may require additional hours be worked on a given day beyond that of a normal workday.
- Employment requires successful completion of various annual online trainings.

COMPENSATION AND BENEFITS: - Base Salary: The expected hourly, non-exempt range for this position is $31.25 - 34.61 depending on experience.
- Bonus: This position is eligible for an annual discretionary bonus
