Japanese Expatriate Administrator (Bilingual)

Job Summary

Assists and supports the Manager, Japan Relations in coordinating and streamlining the major functions of the department. Provides assistance to Japanese executives with administrative functions.

Principal Duties and Responsibilities

  • Provides administrative support to Japanese executives and expatriates, including booking air travel, hotels, transportation, and coordinating meeting arrangements.
  • Performs Japanese-English translation and prepares written documents in Japanese on behalf of Japanese executives.
  • Undertakes special projects in support of Japanese executives and expatriates.
  • Oversees travel arrangements, housing, transportation, insurance, and miscellaneous items for Japanese executives and expatriates.
  • Supports onboarding by providing guidance on U.S. customs, opening bank accounts, applying for Social Security numbers, and obtaining driver's licenses.
  • Arranges expatriate arrivals and departures and communicates relevant details to internal staff.
  • Assists with company vehicle leases, including scheduling repairs and maintenance, on behalf of Japanese executives and expatriates assigned to the manufacturing plant.
  • Coordinates with and provides regular reports to headquarters staff on expatriate-related activities and administrative matters.
  • Performs other duties as assigned to support expatriate and executive needs.

Education, Experience, and Training

  • Bachelor's degree, preferably in Accounting, Finance, or Business Administration.
  • Minimum four years' experience as an executive administrative assistant.
  • Familiarity with tax/financial documents, personnel files, and working with attorneys.

Knowledge

  • Strong understanding of Japanese culture.
  • International business knowledge preferred but not required.

Skills and Abilities

  • Proficient PC skills in Microsoft Office applications.
  • Full spoken and written fluency in Japanese required.
  • Ability to maintain confidentiality of sensitive personnel and business operations information.
  • Good verbal and written communication skills.
  • Ability to exercise independent judgment and work independently with minimal supervision.
  • Ability to multi-task in a fast-paced work environment with multiple and complex transactions and tight deadlines.
  • Ability to research and become familiar with the assigned region to provide informed guidance to expatriates.
  • Good organizational skills and attention to detail.
  • Excellent interpersonal, project management, and analytical skills.
  • Must maintain acceptable driving record and meet company vehicle insurance requirements.
