Position Summary:

The IT Project Coordinator is responsible for leading and overseeing the execution of IT projects to ensure timely and successful delivery within scope and budget, aligned with business objectives. This role involves planning, coordinating, and managing IT projects from initiation through completion in close collaboration with stakeholders and cross-functional teams. The position includes maintaining IT documentation and overseeing task management in Asana. The coordinator will facilitate project milestones, resolve issues, and ensure that IT-related objectives are achieved efficiently.

Note: Candidates must be willing and able to work onsite up to five days per week, with some remote days as business needs dictate. Must have reliable transportation to commute to the job location.

Job Responsibilities:
  • Lead and manage IT projects throughout their lifecycle, meeting defined scope, schedule, and budget requirements.
  • Develop and maintain project plans, including resource allocation, schedules, milestones, and timelines.
  • Apply appropriate project management methodologies (Agile, Waterfall, Hybrid) based on project needs and team structure.
  • Coordinate communication among internal teams and stakeholders, ensuring alignment on goals, updates, and deliverables.
  • Manage stakeholder relationships and expectations, keeping all parties informed of project status, risks, and adjustments to scope, timelines, or resources.
  • Manage tickets for submissions related to system upkeep and maintenance, ensuring accurate tracking in project management systems.
  • Maintain up-to-date IT process documentation, making it accessible for team members and leadership.
  • Prepare and deliver project reports, presentations, and status updates to stakeholders and leadership.
  • Ensure developers have detailed user stories, requirements, and acceptance criteria to support project tasks.
  • Identify and address project risks, proactively resolving issues affecting deliverables, timelines, or budget.
  • Oversee change management, documenting and communicating all scope, schedule, or budget modifications.
  • Leverage Asana for task management and documentation tracking, ensuring proper logging, assignment, and resolution of tasks.
  • Stay updated on new training materials, technologies, and agency standards to ensure ongoing competency.
  • Ensure smooth transition of projects to ongoing support or operations post-implementation.
  • Facilitate meetings, including project kick-offs, status updates, and post-mortems, creating agendas, taking minutes, and following up on action items.
  • Organize and archive project documentation for future reference and compliance.
  • Foster team collaboration by resolving conflicts and promoting positive communication.
Skills Required:
  • Experience in planning, coordinating, and managing IT projects from initiation to completion.
  • Proficiency with project management tools such as Asana (or similar platforms like ClickUp, and Smartsheet) for tracking tasks, documentation, and resolution.
  • Ability to manage IT process documentation, ensuring it is current and accessible.
  • Familiarity with Agile and Waterfall methodologies, with the flexibility to apply each as appropriate.
Preferred Skills:
  • Strong collaboration skills working with stakeholders and cross-functional teams.
  • Ability to adapt to changes and facilitate effective communication among diverse teams.
Experience Required:
  • Demonstrated experience with project management, particularly in IT environments.
  • Hands-on experience tracking and managing project tasks and tickets using relevant project management tools.
Education Required:
  • High school diploma required.
  • An associate's or bachelor's degree is preferred.
  • Candidates are expected to be familiar with IT project management best practices and methodologies.
Additional Information:
  • Candidates must be able to work onsite in Phoenix, AZ, and should have the flexibility to adapt to evolving business needs, including occasional remote work.
  • This is a contract role, with the possibility of extension depending on business and project requirements.
