Operations and Project Coordinator
  • Weekly On-site Presence: Must be available for in-person work every week. (1-3x a week) Zip Code: 30349
  • Leadership Meeting Attendance: Required attendance at weekly leadership meetings, some of which will be held in person.
  • Confidentiality and Professionalism: Must maintain a high degree of professionalism and demonstrate the ability to handle confidential information with discretion
  • Contract: through the end of the year, with extensions into 2026.
Responsibilities:
  • Meeting Management:
  • Schedule meetings, workshops, and other team events considering international time differences; resolve scheduling conflicts and optimize meeting times.
  • Collaborate with staff to craft agendas and create supporting documentation.
  • Coordinate logistics for virtual and in-person meetings.
  • Send proactive meeting communication and reminders.
  • Track and manage action items from meetings and ensure timely follow up as needed.
  • Communication & Collaboration:
  • Draft and distribute team communications
  • Assist with communication to internal and external stakeholders as needed.
  • Help maintain and update team resources and documentation.
  • Special Projects & Process Improvement Initiatives:
  • Assist with special projects as assigned by team leadership.
  • Contribute to process improvement initiatives.
  • Documentation & Reporting:
  • Prepare and format documents, reports, and presentations for various needs, ensuring consistency and accuracy.
  • Maintain organized files and records for the team.

  • Extensive Experience with Meeting Management and Facilitation: Proven ability to plan, organize, and facilitate productive meetings, including developing agendas, managing discussions, and ensuring effective follow-up.

  • Superior Communication Skills (Written & Verbal): Articulate and professional communication style, both written and verbal, with a proven ability to tailor communication to different audiences.

Technical Proficiency:
  • Microsoft Office Suite: Advanced proficiency in Outlook, PowerPoint, Word, and Excel.
  • Collaboration Tools: Expertise in using platforms such as MS Teams, MS Loop, Slack, Miro, Jira, and SmartSheets.
Compensation:

$ 25 /hr to $ 45 /hr.

Exact compensation may vary based on several factors, including skills, experience, and education.

Benefit packages for this role will start on the 31st day of employment and include medical, dental, and vision insurance, as well as HSA, FSA, and DCFSA account options, and 401k retirement account access with employer matching. Employees in this role are also entitled to paid sick leave and/or other paid time off as provided by applicable law.
