About the Job: The IT Coordinator plays a critical role in supporting the IT department by managing administrative functions, streamlining workflows, maintaining documentation, and facilitating communication between the IT team, managed service providers, and other departments. This position ensures smooth daily operations and efficient project coordination, contributing to the overall effectiveness of IT services.

This role requires a blend of administrative and project management skills to keep the IT team aligned with both day-to-day operations and long-term initiatives. A solid grasp of IT terminology is essential for effectively coordinating across vendors and diverse internal teams.

Primary Responsibilities:
  • Monitor and track IT service requests daily, ensuring they are updated and resolved promptly.
  • Coordinate project schedules and timelines with managed service providers.
  • Serve as the primary point of contact between the IT department and external Help Desk management.
  • Communicate with end-users and IT staff to gather details for issue resolution, prioritizing tickets based on urgency or departmental needs.
  • Manage software platforms by overseeing licenses, user access, and updates.
  • Follow up on pending IT requests to ensure timely completion by the IT team.
  • Schedule and organize IT team meetings, including preparing agendas, taking detailed notes, and tracking follow-up actions. Meetings may include virtual and in-person technical discussions, training sessions, and vendor engagements.
  • Maintain and update IT-related documentation, such as procedures, user guides, and workflow processes.
  • Assist in preparing reports on service ticket trends, IT performance metrics, and system updates.
  • Track and manage IT assets, ensuring inventory records are current.
  • Support onboarding and offboarding processes by coordinating IT account setup and access management.
Minimum Requirements:
  • High school diploma required; an associate's or bachelor's degree in IT, computer science, or a related field is preferred. Relevant technical certifications preferred.
  • 2-3+ years of experience in an administrative support role within an technical setting.
  • Experience working in an enterprise IT environment or supporting an IT Help Desk is a plus.
  • Familiarity with IT concepts, including user account management, software installation, and basic troubleshooting.
  • Proficiency with Microsoft Office Suite (Outlook, Excel, Word, Teams) and the ability to adapt to IT-specific tools.

Compensation: $28 - $32/hour

Job Status: Onsite in Buffalo, NY. Direct hire, full time.
