Job Summary:

The IT Asset and Purchasing Specialist is responsible for managing the lifecycle of IT assets, ensuring accurate tracking of inventory, and performing the procurement for IT-related hardware, software, and services. The ideal candidate will have strong organizational skills, experience in vendor management, and a solid understanding of IT equipment and software licensing.

Key Responsibilities:

IT Asset Management:
  • Maintain an accurate and up-to-date inventory of IT assets, including hardware (computers, servers, peripherals) and software licenses.
  • Track asset lifecycle from procurement to disposal, ensuring compliance with company policies and industry regulations.
  • Conduct regular audits and reconciliations of IT assets to ensure data integrity.
  • Coordinate asset tagging, documentation, and storage processes.
  • Manage the disposal or recycling of obsolete equipment in accordance with environmental and data security standards.

Purchasing and Procurement:
  • Source and procure IT hardware, software, and services based on organizational needs and budget constraints.
  • Negotiate with vendors to secure favorable pricing, terms, and delivery schedules.
  • Prepare and process purchase orders, ensuring timely and accurate fulfillment.
  • Collaborate with internal stakeholders (e.g., IT team, finance department) to align purchasing decisions with business requirements.
  • Maintain vendor relationships and evaluate supplier performance to ensure quality and reliability.

Budget and Reporting:
  • Assist in budget planning for IT-related expenditures.
  • Generate reports on asset status, procurement activities, and spending trends for management review.
  • Identify cost-saving opportunities without compromising quality or functionality.

Compliance and Documentation:
  • Ensure all purchases and asset management practices comply with company policies, legal requirements, and software licensing agreements.
  • Maintain detailed records of purchases, warranties, contracts, and service agreements.
  • Support audits by providing documentation and responding to inquiries.
Skills and Competencies
  • 5+ years of experience in IT asset management, procurement, or related role
  • Strong organizational and multitasking abilities with keen attention to detail.
  • Ability to identify and resolve issues related to IT assets and purchasing
  • Proficiency in asset management software and procurement tools.
  • Excellent communication skills for interacting with vendors and internal teams.
  • Knowledge of budgeting and financial tracking related to IT purchases.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Proficiency in Microsoft Office Suite and familiarity with ERP systems

Work Environment & Requirements:

Remote work availability can be discussed based on company policy

Ability to lift and move IT equipment (up to 25 lbs) as needed for inventory or audit purposes.

Travel to off-site locations in both the US and Canada throughout the year is required.
