Primary Purpose: The IT Administrative Assistant provides clerical, technical, and customer service support to the
district's Technology Department. This role manages office communications, performs
technology-related administrative tasks, and supports website content management. The
position also supports district account maintenance and various district-specific projects. This
role requires strong organizational skills, attention to detail, and the ability to collaborate
effectively with staff and vendors.
Qualifications: Education/Certification:
- High school diploma or GED required.
- Associate's degree or technical certification preferred.
Experience:
- Prior experience in an administrative or technology support role is preferred.
- Experience with website content management is a plus.
Special Knowledge/Skills:
- Strong organizational skills and ability to handle multiple projects at one time.
- Proficiency with office productivity software (Google Workspace, Microsoft Office).
- Basic knowledge of user account management in backend systems.
- Familiarity with content management systems (CMS) for website updates.
- Ability to learn and use help desk ticketing systems.
- Excellent written and verbal communication skills.
- Attention to detail and ability to handle sensitive information with confidentiality.
Major Responsibilities & Duties: Administrative Support:
Phone & Office Reception:
- Answer and direct incoming calls to the technology department.
- Greet and assist visitors professionally and courteously.
Clerical Duties:
- Schedule and coordinate department meetings and appointments.
- Assist with purchasing, tracking expenses, and invoices.
- Assist with documentation, reports, and spreadsheets.
Help Desk Support:
- Assist with creating and managing support tickets.
- Follow up on ticket statuses and communicate with staff as needed.
Asset Management:
- Help maintain and update technology inventory records.
- Assist with asset tagging, deployment, and return tracking.
Technology & Website Support:
Website Content Management:
- Update district website content using the content management system (CMS).
- Create and publish website banners and announcements.
- Upload and manage media content, including alumni photos and event galleries.
Slideshows & Presentations:
- Create slideshows and presentations for various district events.
- Collaborate with the district team on content collection and accuracy.
Staff & Student Account Management:
- Staff Keycards & ID's:
- Create keycards and ID badges for staff as needed.
- Collaborate with designated staff to receive and verify required information and photos.
Student Accounts:
- Coordinate with and assist designated staff members responsible for account creation.
Graduate Alumni Management:
- Collect, crop, resize, rename, and organize senior photos for the alumni website.
- Verify photo accuracy against graduation lists with administrative staff.
- Prepare the photos and spreadsheet for website upload.
Student Photos for System Upload:
- Collect student photos from external and internal sources during the fall semester.
- Rename and resize student photos.
- Organize and upload photos.
Technical Assistance:
DHS Student Support:

- Help create and manage support tickets.
- Issue and track loaner devices.
Supervisory Responsibilities: None
Tools/Equipment Used: Personal computers, peripherals, and printers. Small hand tools. Step ladders and moving carts.
Posture & Motion: Posture: Prolonged sitting; regular kneeling/squatting, bending/stooping,
pushing/pulling, and twisting. Motion: Repetitive hand motion; frequent keyboarding and use of mouse; regular walking, grasping/squeezing, wrist flexion/extension, and reaching.
Lifting: Moderate lifting and carrying (up to 50 pounds).
Environment: Occasional prolonged and/or irregular hours. Occasional travel to district campuses and training events.
Mental Demands: Work with frequent interruptions. Maintain emotional control under stress.
