Job Summary:

We are seeking a highly organized and detail-oriented Intellectual Property (IP) Legal Assistant to support a law firm client with patent prosecution matters. This role requires strong administrative skills, familiarity with IP procedures, and the ability to work in a fast-paced legal environment.

This position will need to be present in the Philadelphia office multiple times per week.

Key Responsibilities:

  • Prepare, file, and manage domestic and international patent and trademark applications with the USPTO.

  • Maintain and monitor IP docketing systems for deadlines and renewals.

  • Coordinate with outside counsel, inventors, and internal teams regarding filings and prosecution.

  • Conduct basic IP searches and assist in gathering information for filings or litigation.

  • Draft and edit correspondence, legal documents, and status reports.

  • Manage documentation for IP assignments, licensing agreements, and related contracts.

  • Organize and maintain IP files, both digital and physical.

  • Handle general administrative duties such as scheduling, billing support, and travel arrangements for legal staff.

Qualifications:

  • Associate or Bachelor's degree preferred; Paralegal certification is a plus.

  • 2+ years of experience in an IP legal assistant or paralegal role, preferably in a law firm or corporate legal department.

  • Knowledge of USPTO and international IP filing systems (e.g., WIPO, EPO).

  • Proficiency in IP docketing software (e.g., CPI, FoundationIP, Anaqua).

  • Strong written and verbal communication skills.

  • Excellent attention to detail, organizational skills, and ability to prioritize.

  • High level of discretion and professionalism when handling confidential information.

Preferred Skills:

  • Familiarity with legal billing practices and time entry software.

  • Experience with patent and trademark databases and electronic filing systems.
