Position: Intermediate Secretary

Summary: To support the daily operation of the building while supporting the building leads. This position is 200 days per year and 3.5 hours per day, primarly covering the office during the time when full tme secretaries are at lunch. When other secretaries are out of the office for the day, this position may be asked to cover for the full day.

Reports to: Building Principal

Coordinates with: Principal, Assistant Principal, Dean of Students, and Secretaries

  7. a. Track/verify daily subs
  8. b. Code jobs properly
  9. c. Schedule subs for building events
  10. Parent/Building Communications
  11. Attendance
  12. Truancy
  13. a. Track and log truancy concerns
  14. b. Work with Truancy Officer
  15. Illness reporting to the Health Department
  16. Payroll
  17. a. Collect and verify extra duty payroll sheets
  18. Lunch count
  19. Distribute Mail
  20. Health care
  21. a. Assist with medication dispensing
  22. b. General knowledge of how to handle:
  23. i. Allergies
  24. ii. Diabetic
  25. iii. Seizures
  26. iv. AED
  27. v. CPR
  28. iv. Concussion
  29. Staff Injuries
  30. Emergency Response Drills
  31. a. Schedule building Emergency Response Drills dates
  32. b. Provide information to staff
  33. c. Report dates on school website
  34. Website Maintenance
  35. Liaison for Outreach Programs
  36. a. Blessings in a Backpack
  37. b. GL Shopping Tour
  38. Building Calendar Management
  39. CA-60 Management
  40. a. Recording screening
  41. b. Updating address
  42. Filing


Required Skills/Abilities:
  • Must be confidential
  • Excellent verbal and written communication skills
  • Excellent interpersonal and customer service skills
  • Proficient in Microsoft Office Suite and Google
  • Excellent organizational skills and attention to detail
  • Ability to work independently
Education and Experience:
  • Associates degree preferred
  • Two to three years of experience in an administrative role

Physical Demands:

While performing the duties of this position, the employee is regularly required to sit for long periods of time. The employee must occasionally lift and/or up to 25 pounds of files, paper, or other related equipment or supplies. Occasional stooping, bending, and reaching. Close vision is required to perform computer related tasks.

The employee shall remain free of any alcohol or non-prescribed controlled substance in the workplace throughout his/her employment in the District.
