Position Overview:
The IP Legal Assistant will play a key role in supporting attorneys and paralegals with a variety of administrative and legal tasks related to intellectual property prosecution. This role requires a strong understanding of IP processes, excellent organizational skills, and the ability to thrive in a fast-paced legal environment.
Key Responsibilities:
- Prepare, file, and maintain documents for U.S. and international patent and trademark applications
- Track deadlines and manage docketing systems to ensure timely filings and responses
- Assist with correspondence to clients, foreign associates, and government agencies (e.g., USPTO, WIPO)
- Conduct preliminary research on IP matters as requested
- Organize and maintain electronic and physical case files and databases
- Coordinate billing and time entry with attorneys and accounting departments
- Provide administrative support, including scheduling meetings, proofreading documents, and other clerical tasks
Qualifications:
- 3+ years of experience as a legal assistant, preferably in IP law
- Familiarity with IP docketing systems (e.g., CPI, Anaqua, or similar) and electronic filing systems (e.g., EFS-Web, TEAS)
- Excellent written and verbal communication skills
- Strong attention to detail and organizational skills
- Proficiency in Microsoft Office Suite and Adobe Acrobat
- Ability to manage multiple priorities and deadlines in a team-oriented environment
Preferred Qualifications:
- Bachelor's degree or paralegal certificate
- Experience working with international IP filings
- Knowledge of IP law firm procedures and billing practices
