This role is critical to the firm's growth. You will be the first impression and the deciding factor between a lead lost and a life changed.
Position Overview
The Intake Specialist is the first point of contact for new clients. Your role is to build relationships, qualify leads, and convert inquiries into signed clients. Success here requires confidence, empathy, attention to detail, and a relentless focus on results.
Responsibilities
• Answer Incoming Calls: Respond promptly, professionally, and empathetically to potential clients.
• Conduct Initial Screenings: Assess needs, identify conflicts, and determine service fit.
• Gather Information: Collect critical case details and input them accurately into firm systems.
• Consultation Scheduling: Communicate the firm's value and secure appointments for strategic planning sessions.
• Sales Conversion: Sell the initial consultation and convert leads to signed clients.
• Onboard Clients: Obtain signed Engagement Agreements and collect Retainers efficiently.
• CRM Management: Document all client interactions thoroughly and in real time.
• Follow-Up: Nurture leads proactively, addressing questions and guiding next steps.
• Collaborate: Partner with attorneys, billing specialists, and team members to ensure seamless onboarding.
• Administrative Support: Complete additional tasks supporting intake and client services as assigned.

Minimum Requirements:
• 2+ years in sales, intake, or client services roles (legal industry preferred, not required).
• Proven ability to meet and exceed KPIs and sales targets.
• Proficiency with CRM systems and lead tracking.
• Strong verbal and written communication skills.
• High emotional intelligence (EQ) with a client-first focus.
• Availability to work standard Pacific Time Zone hours.
