Montgomery, AL Purpose of position: To create the first impression for the company; answer the main telephone line; greets visitors to the facility; assists with various clerical duties.
Essential Functions: (must be able to perform these functions, with or without reasonable accommodation).
- Answers main phone line in a timely manner and routes calls to proper extension taking messages when necessary.
- Greets visitors in a friendly and professional manner.
- Informs individual employees of visitors or guides the visitor to appropriate person.
- Manages postage machine reports, sorts mail and distributes to appropriate employee.
- Manage Polycom Phone System and update messages during holidays and closures.
- Assist with Boardroom setup on Board Meeting days.
- Reviews and edits documents as requested, in a timely manner.
- Exceptional attendance with very few absences that are not pre-approved is required.
- Acts as a positive role model in all aspects of professional performance.
- Process Certificates of Origin and post to computer log and place copy in binder
- Ensure the lobby is clean and organized.
- Ensure all meeting rooms are clean, lights on at the beginning of the day and out at the end of each business day.
- Update Tenants when facility will be closed for holidays or remote workdays.
- Schedule meeting rooms for tenants
- Observe safety procedures and personnel policies.
Skills, knowledge and abilities: (these are required to enable job holder to perform the essential functions of the job).
- Must be able to interact cordially and productively with all employees.
- Must have a positive attitude and above average customer service skills and be willing to learn new tasks.
- Ability to use general office equipment including computers (Office 365, ADOBE etc.), postage machine, and telephone system.
- Must be able to proficiently read, write and communicate clearly in English.
- Must be able to maintain an effective working relationship with employees.
- Must possess effective communications skills with ability to handle difficult people or situations.
- Coordinate with Sr. Facility Manager inventory and supply needs, to include ordering and handling deliveries.
- Participate and assist in special projects and events as needed.
- Must be able to use hands, fingers, and wrists, repetitively, using a computer keyboard.
- Other duties as assigned.
- Ability to lift heavy items.
