Hybrid Executive Assistant to CFO and CLO at Global Firm, Chandler, AZ



A global, publicly traded manufacturing company that is a leading supplier of materials for in solar tracking systems is looking for an Executive Assistant to support the Chief Financial Officer and the Chief Legal Officer. The company has been in business over 30 years and has recently expanded. The role is 4 days in office, 1 day remote. There is a gym in the building for employees.





About the Job:


Manage sensitive matters with high confidentiality and discretion, especially decisions directly impacting the company's global operations


Maintain and manage a daily calendar of global meetings and events for the CLO and CFO


Coordinate and manage executive team meetings, off-sites, and company events


Assist with creating materials for quarterly board meetings (slides and spreadsheets


Prepare Word, Excel, PowerPoint presentations, decks, agendas, reports, special projects, and other documents in support of objectives for the organization


Screen incoming phone calls delivering detailed, timely messages to the appropriate parties


Planning and executing internal and external meetings and events


Prepare Word, Excel, PowerPoint presentations, decks, agendas, reports, special projects, and other documents in support of objectives for the organization


Coordinate global travel arrangements including flights, cars, hotels, and other reservations


Process expense reports


Assist in managing and tracking key projects and initiatives, ensuring timely completion and follow-up.


Assist and prepare correspondence for internal announcements, board meetings, and organizations including Executives involvement.


Review and redline contracts and other technical documents accurately


Occasionally respond to emails/texts/phone calls, outside normal business hours when needed



About You:


Minimum of 7 years of experience in a related support position


BA/BS from a college or university


Excellent Microsoft Office skills (Word, Excel, PowerPoint and Outlook)


Dynamic and proactive comfortable in a fast-paced environment.


Polished, professional demeanor


Proactive go-getter; no task is too big or too small


Outstanding communication skills
