ROLE SUMMARY The Human Resources (HR) Manager assists the HR department with daily operations to ensure nothing is overlooked. The responsibilities involve administrative tasks, compliance-oriented duties, human resources operating system (HROS) maintenance, onboarding and terminations, and benefits administration.
This role will work from the Miami, Florida location.
RESPONSIBILTIES: Reporting/Compliance:
- Submit Annual Equal Employment Opportunity (EEO) Component 1 and 2 Reports
- Assist in Affordable Care Act (ACA) reporting
- Manage I-9 employment verification processes, including submitting and reviewing documentation through E-Verify to ensure compliance with federal regulations
Benefits Administration:
- Assist in conducting open enrollment
- Enter payroll insurance deductions into HROS for new employees and changes
- Conduct monthly audits to ensure that deductions are satisfied
- Develop and maintain relationships with vendors
- Assist in processing, tracking, and reporting Worker's Compensation claims
- Manage all additions, employee changes, and terminations in UNUM portal for voluntary life insurance
Leaves of Absence:
- Maintains knowledge of all applicable leave and accommodation laws including the FMLA, ADA, and state and local laws
- Handle the FMLA leave administration process from the employees' initial notice of the need for leave to return to work. This includes gathering all required paperwork, determining eligibility, designating leaves, requesting medical certification as needed, and accounting for employees' time off use
- Manages and maintains accommodation requests and implementation
- Preserves confidentiality of employee's documentation and files
HROS Maintenance:
- Assist employees and managers in system navigation: adding necessary documents, adding direct deposit information, timely onboarding, etc.
- Create monthly reports for employee and insurance audits
- Review and update on-boarding documents
- Employee Onboarding and Terminations:
- Support managers and employees with system on-boarding inquiries
- Conduct background checks
- Distribute necessary termination documents to employees and vendors
- Employment Development Department (EDD) change in relationship form
- Portability/Conversion forms for employees with life insurance
- Assists in coordinating the exit process for departing employees: collaborate with accounting team and managers to ensure that final checks are cut in a timely fashion and distribute final checks to managers/certify mail
General Tasks:
- Assist with all department functions and administrative tasks as needed
- Maintain filing and organization of personnel files
- Assist in unemployment claims: correspond with unemployment department representatives and attend hearings when necessary
- Complete EDD benefit audits and respond to child support benefit requests
- Assist in the development and implementation of human resource policies and procedures and standard operating procedures
- Participate in special projects and initiatives and provide general support to HR Team as needed
QUALIFICATIONS: - A minimum of four to five years' direct experience
- Bachelor's degree required
- Exceptional organizational skills
- Strong attention to detail
- Excellent communication skills, high level of confidentiality, strong follow through
- Extremely proactive, with the ability to multitask and handle a heavy workflow
- Ability to succeed in a fast paced, highly demanding, corporate environment
- Spanish/English bilingual highly preferred
