Position Summary
The Coordinator, Human Reosurces plays a pivotal role in ensuring the smooth operation of payroll, benefits and other HR functions. Primary responsibilities include processing the biweekly payroll, benefit and leave administration, HCM software support and the initial point of contact for Human Resources inquiries. Additionally, this role supports broader Human Resources initiatives, including organizational development, software implementation and administration, new hire processing, onboarding and orientation, and internal communication and content creation. With a focus on precision, compliance, and collaboration, this position is integral to maintaining an efficient and highly-focused Human Resources team.
This is a hybrid role with 4 days in our Philadelphia corporate headquarters and one remote day.

Essential Functions
Payroll Administration
- Process bi-weekly payroll for all employees, ensuring accuracy and timeliness.
- Verify timekeeping data and resolve any discrepancies with employees and managers.
- Maintain payroll records and handle employee inquiries regarding pay, deductions, and taxes.
- Prepare and submit payroll tax filings and year-end reports, including W-2, ACA and 1099 forms.
- Conduct audits, identify discrepancies and recommend corrective action.
- Collaborate with the finance department to reconcile payroll accounts.
Benefits and Leave Administration
- Coordinate and administer employee benefit and leave programs, including enrollments, claims, changes and terminations.
- Process and reconcile monthly benefit invoices, including completing audits to ensure accurate record-keeping and deductions
- Serve as the initial point of contact for benefit providers and employee questions or concerns.
- Ensure compliance with applicable regulations, such as COBRA, FMLA, and ACA.
- Monitor and maintain accurate benefit and leave records in HCM systems and other programs.
HR Support
- Maintain and process employee changes, ensuring they are submitted and processed timely and accurately, including new hires, terminations, status and job changes, and employee self-service change requests.
- Maintain confidential employee records and ensure compliance with legal and organizational standards.
- Provide support and serve as the initial point of contact for all employees, including corporate office, remote and retail staff.
- Assist in the processing, communication and onboarding of new employees.
- Generate reports related to payroll, benefits, and other HR metrics as requested.
- Support the human resources team with other tasks, including but not limited to: internal communication and content creation, recruiting and orientation, organizational development and training initiatives.
Qualifications
- Experience: 1-3 years in a related human resources role, preferably in luxury retail or a similar industry.
- Education: Bachelor's degree in human resources or related field (or equivalent experience).
- Solid understanding of federal, state and local employment laws, payroll tax regulations, and benefits compliance requirements.
- Excellent communication and interpersonal skills, with the ability to work cross-functionally and build strong relationships.
- Creative problem-solving skills, with a knack for identifying process improvement and cost-saving opportunities.
- Intermediate to advanced technical skills, including Microsoft Excel, HCM systems and data management tools.
- Experience with Rippling HCM is preferred.
