Job Description:

We are seeking a detail-oriented and organized Human Resources Coordinator to manage and oversee critical HR processes, ensuring smooth onboarding, offboarding, and daily employee record management. This role is essential for maintaining compliance, efficiency, and a positive employee experience across all HR operations. Background in dietetics a PLUS.


Key Responsibilities:


Onboarding:

  • Facilitate new hire announcements, introducing employees to the team and sharing relevant details.
  • Input new hire information into HR systems (e.g., BambooHR), including personal details, job title, department, and manager assignments.
  • Coordinate access to necessary tools, software, and systems (e.g., work email setup).
  • Collect and manage completion of onboarding documents, such as W-4 forms, direct deposit forms, and benefits selection.

Offboarding:

  • Manage resignation notices, confirming last working days and communicating the departure to relevant teams.
  • Maintain records by uploading resignation letters to HR systems.
  • Schedule and conduct exit interviews to gather valuable feedback.
  • Prepare for employees' final days by coordinating the return of company property and revoking system access.
  • Update HR systems to reflect employee departures, adjust benefits or payroll records, and process final paychecks.
  • Communicate employee departures to the team, including sending farewell announcements as needed.

Daily Employee Records Management:

  • Conduct daily audits of employee records, ensuring all data is accurate and up to date (e.g., AHCA requirements, training, certifications).
  • Monitor approaching expiration dates for certifications, documents, or benefits, and issue timely reminders to employees.
  • Prevent expiration overlaps by reviewing and adjusting timelines as needed.
  • Follow up with employees to ensure compliance with necessary renewals or selections.

Immigration Support:

  • Assist with the OPT/TN to H1B process, ensuring compliance with legal and organizational requirements.
  • Guide employees in preparing for the H1B lottery process, providing clear instructions and support.
  • Collaborate closely with immigration attorneys to facilitate the successful transition of employees' work authorizations.
  • Act as a point of contact for employees navigating the immigration process, addressing questions and providing updates.

Qualifications:

  • Proven experience in HR operations or a related field, including immigration processes.
  • Proficiency with HR systems (e.g., BambooHR) and strong attention to detail.
  • Excellent organizational and time-management skills.
  • Strong communication skills, both written and verbal.
  • Ability to manage sensitive information with confidentiality and professionalism.
  • Familiarity with employment-based visas (e.g., OPT, TN, H1B) and the H1B lottery process is preferred.

Education Requirements:

  • Bachelor's Degree in Human Resources, Business Administration, or a related field is required.
  • An advanced degree (e.g., Master's in Human Resources or Business Administration) is preferred but not mandatory.
