We have an amazing opportunity for an organized and proactive HR Administrator to join our team and help us support our most valuable resource - our employees. PVA has 350 locations in 18 states and is the 2nd largest franchisee in the Jiffy Lube system.
What You'll Do: As the HR Administrator, you will play a key role in our continued HR transformation and your responsibilities will include:
Total Rewards Administration - About 60% of the time is supporting our compensation, benefits, wellness and perks programs.
- Facilitates data, policy assignment, and notifications regarding FT v PT status for benefits and PTO.
- Complete changes in ADP each day to include (transfers, promotions, demotions) (20-60/day)
- Align security roles between ADP and POS (GROW) systems using the role to position mapping standards by conducting weekly audit.
- Review and complete new hire enrollments for benefits. (2-5/day)
- Review qualifying life events in ADP and process accordingly. (5-10/month)
- Serve as back up to complete medical support notices. (3-5/week)
- Assist with Leave of Absence notifications.
- Resolve any annual 1095 issues.
HR and Employee Relations Administration - About 20% of the time is supporting our HR and Employee Relations work.
- Create regular reports and presentations on HR metrics (e.g., turnover rates).
- Answer employees' queries about HR-related issues.
- Scan employee verifications into ADP Smart Compliance (1/day)
- Support Employee Relations Manager with unemployment claims processing (2-3/day).
- Process terminations in company systems, ADP, and provide separation notices (10-20/day).
- Support timely terminations reporting.
- Administer corrective action documentation as it relates to store manager hours against schedule.
Payroll Administration - About 10% of the time is supporting the payroll team.
- Process incoming mail.
- Scan all garnishments into ADP Smart Compliance.
- Process child support wage/benefit verification forms (10-15/week)
- Resolve any W2 issues during tax season.
- Process address changes end to end in ADP (3-5/week).
- Monitor, research, and respond to payroll inbox.
- Run weekly reports pre and post payroll (GM hours worked, idle clock, etc.)
HRIS Administration / Recruiting Administration - About 10% of the time is supporting the HRIS, Recruiting and Onboarding team.
- Help employees with password resets (2-3/week)
- Conduct data audits monthly as needed.
- Serve as back up to process new hires and rehires.
- Update staffing model monthly.
- Supply FCRA notices as required.
- Serve as back up to recruiting specialist posting requisitions.
- Participate in HR projects (e.g., help organize a job fair event).
What We're Looking For: - Proven experience in an administrative role, preferably in HR but not required - Someone who loves making processes better.
- Strong organizational and multitasking skills - Someone who doesn't having to manage lots of moving pieces.
- Excellent communication and interpersonal abilities - Someone who likes to be part of a team and service operations.
- High attention to detail and confidentiality - Someone who recognizes how to deal with sensitive information and keep it sacred.
- Proficiency in MS Office and HRIS systems - Someone who loves excel a must. Someone who knows ADP or picks up system easily critical.
