HR Operations & Admin Position

Job Summary: The HR Operations & Admin position is responsible for supporting daily human resources and administrative tasks. This role ensures smooth HR operations and general office administration while maintaining compliance and supporting organizational efficiency.

Responsibilities: Responsibilities as outlined below, and any additional duties as required/assigned by the Regional Accounting Admin Manager, Regional Human Resources Manager and Senior Vice President:

HR Responsibilities:
  • Time and Attendance
  • Management of mjobtime
  • Spectrum Payroll Entries
  • Employee Records Management
  • Temporary Staffing Management
  • Orientation (Handbook, Benefit Information)
  • IT Coordination
  • Entering PTO/Holidays/Absences/Leave
  • Performs customer service functions by answering employee requests and questions.
  • Completes Forms I-9, verifies I-9 documentation and maintains I-9 files.
  • Performs other duties as assigned
Administrative Operations Responsibilities:
  • Fleet Management
    • Vehicle Compliance / Registration
    • Vehicle Fuel cards implementation and management
  • Office and Support
    • Answering Phones / Doors
    • Coordinating vendor, employee and customer meetings
    • Any other necessary support to the Operations team
    • Performs other duties as assigned
Required Skills/Abilities:
  • Bilingual in English and Spanish (both written and verbal).
  • Strong communication skills in both languages, with the ability to translate and interpret as needed.
  • Excellent interpersonal, negotiation, and conflict resolution skills.
  • Excellent organizational skills and attention to detail.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Strong analytical and problem-solving skills.
  • Ability to prioritize tasks and to delegate them when appropriate.
  • Ability to act with integrity, professionalism, and confidentiality.
  • Proficient with Microsoft Office Suite or related software.
  • Proficiency with or the ability to quickly learn the organization's HRIS and talent management systems.
  • Understands and utilizes emotional intelligence when engaging coworkers and other individuals
  • Demonstrates initiative and ownership when presented with challenges
Education and Experience:
  • Bachelor's degree in Human Resources, Business Administration, or related field preferred.
  • At least one year of human resource management experience is preferred.
Physical Requirements:
  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.
